National Flood Experts is seeking a resourceful and highly organized Executive Assistant to the VP of Business Development to provide critical administrative support. This role will focus on assisting with tasks related to sales opportunities, client communications, and project updates, while also helping to manage social media presence and coordinate conference preparation. Key Responsibilities
Sales Support
The ideal candidate will be intricately involved in the sales process in assisting the VP with hitting 2025 revenue targets.
Assist in inputting, tracking, updating sales opportunities in Salesforce and other internal project management software systems.
Collaborate with the VP to maintain an up-to-date pipeline and assist with follow-up tasks.
Support the preparation of materials for sales calls, conferences, and presentations.
Administrative Support
Maintain and update the VP’s calendar, email, scheduling meetings with clients, prospects, and internal teams.
Prepare meeting agendas, sales reports, and presentations for internal and client-facing meetings.
Organize travel arrangements, itineraries, and accommodations for conferences and meetings.
Maintain and assist the VP’s expense reports accurately and efficiently.
Client Communication
Assist with client project updates and incoming prospective sales opportunities
Manage client correspondence, ensuring timely follow-ups and professional communication for new, ongoing and future project opportunities.
Act as a liaison between the VP and clients, addressing inquiries and resolving minor issues.
Project Coordination
Track and follow up on project updates, ensuring deadlines are met and deliverables are completed.
Help prioritize tasks and streamline workflows to ensure the VP’s focus remains on high-impact activities.
Social Media and Marketing Assistance
As time permits, oversee the VP’s professional social media accounts (e.g., LinkedIn), ensuring weekly regular updates and engagement.
Assist in creating and scheduling posts, including announcements, thought leadership content, and event promotions.
What We’re Looking For
Skills and Qualifications
Bachelor’s degree in Business Administration, Communications, or related field preferred.
3 years of experience in an executive assistant or similar support role.
Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint). Familiarity with Salesforce is highly desirable.
Exceptional written and verbal communication skills.
Strong organizational and multitasking abilities with a keen attention to detail.
Familiarity with managing professional social media accounts.
Commercial Real Estate or Commercial Insurance industry experience is a plus.
