JOB SUMMARY
We are seeking a dynamic and organized individual to join our team as an administrative professional. This role is essential to the smooth operation of our office and requires a highly proactive and detail-oriented person who can manage a variety of tasks to ensure the office runs efficiently and effectively.
KEY RESPONSIBILITIES
Administrative Responsibilities
- Assist in multi-organization calendaring efforts, prepare for meetings and provide comprehensive support to the executive team.
- Create daily schedule, reminder emails and set up virtual and in person meetings as needed.
- Oversee conference rooms and conference room calendars.
- Manage and update conferences tracking document and book travel, including flights, hotel, car rentals.
- Assist in driving initiatives that support company culture and coordinate all aspects of staff meeting (assemble slide deck, set up, agenda, print outs and more).
- Office management, office and printer repair/maintenance, answer phone/direct messages, inventory, ordering and organizing supplies (office supplies, paper goods, kitchen items, printer supplies) and managing deliveries, office opening and closing procedures and more.
- Support the Executive, Business Development, and Marketing team in the entry of prospect and tour information into the Zoho system. Pull reports as requested based on specific parameters.
- Assist other departments and team members as needed in support of NHHA’s continuum of care model (i.e.) Legal, Marketing, Grants, Business Development and Data
HR Responsibilities
- Manage the recruitment process by posting job openings, reviewing resumes, screening applicants, scheduling interviews and other recruiting efforts as needed.
- Help facilitate the onboarding process for new employees, including welcome and first day emails, preparing orientation materials, assisting with orientation sessions and on ordering and managing of IT resources.
- Support the development and documentation of company policies and procedures for the Human Resources department.
- Provide timely responses to employee inquiries regarding topics such as, but not limited to, company benefits, timekeeping policies and procedures, onboarding and offboarding requirements, general help requests, etc.
- Maintain accurate and up-to-date staff lists, employee records and ensure compliance with company and industry standards.
POSITION REQUIREMENTS & QUALIFICATIONS
- Strong organizational skills with the ability to multitask and prioritize effectively.
- Excellent verbal and written communication skills.
- Attention to detail and problem-solving abilities.
- Ability to handle sensitive information with confidentiality.
- Basic knowledge of HR practices and employment laws is a plus.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Bachelor’s Degree in Human Resources, Business Administration, or a related field.
- Positive attitude and customer service orientation.
- Ability to inspire and motivate teams, foster collaboration, and build strong partnerships.
- Knowledge of legal and regulatory requirements related to non-profit organizations.
