We are searching for a part-time Administrative Assistant to join our front desk team . The ideal candidate will need to be flexible and cover vacations and or sick calls when needed. The current hours for this position are, Monday through Thursday 3 : 30 pm to 4 : 30 pm and Fridays from 8 : 00 am to 2 : 00 pm.
JOB DESCRIPTION

Reports To : HR Coordinator / Executive Assistant
FLSA : Non-Exempt
DEFINITION :
Under general direction, this position performs a variety of responsible administrative support work by providing front-line customer service functions along with a variety of clerical support duties for the Company. The incumbent must have outstanding customer service skills and enjoy working with the public; will be expected to complete assignments in observance of established schedules; must be able to work independently, establish priorities and deadlines, understand and follow written and verbal direction, communicate effectively, and establish and maintain cooperative working relationships.

- Establish, develop, maintain and update filing system. Retrieve information from files when needed.
- Schedule and organize activities such as meetings, orientations, travel, and conferences.
- Answer incoming calls and route; accordingly, greet guests
- Sort and distribute incoming mail; Respond to regularly occurring requests for information.
- Handle confidential and non-routine information and explains policies when necessary.
- Work independently and within a team on special nonrecurring and ongoing projects; Prioritize and manage multiple projects simultaneously and follow through in a timely manner.
- Maintain adequate supplies of marketing materials.
- Type and design general correspondences, memos, charts, tables, graphs, business plans, etc. Proofread copy for spelling, grammar and layout, making appropriate changes. Responsible for accuracy and clarity of final copy; Generate and distribute reports.
- Provide administrative support for the Executive Assistant.
- Other responsibilities as assigned
KNOWLEDGE, SKILLS, AND ABILITIES
MINIMUM QUALIFICATIONS
A minimum of 3 years of experience in a secretarial or administrative professional role.
OR :
An associate’s degree or higher and a minimum of 1 year of experience in a secretarial or administrative professional role
OR :
Any relevant combination of education and experience as determined by the Campus President.
Other
A valid California Class "C" Driver's License may be required.
WORKING CONDITIONS
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend, reach, or stand as necessary.
