Job Description- Events Coordinator

The Event’s Coordinator manages weekday and wedding events that require a friendly and knowledgeable representative, to assist with the sale, coordination, and execution of the event.
Duties and Responsibilities
· Performs as a member of the Events Department - reports to the Director of Events
· Sells events and generate new ideas for creating opportunities to increase client base.
· Engage previous clients to rebook past events or to create new events.
· Prepares Monthly reports assigned by Director.
· Inputs leads information into system, creates informational dialogue, schedules onsite meeting, books the event, creates folders, orders all requests for booked event, processes payment.
· Receives finalized information for timelines or extra needs and provides Events Specialist with necessary information for them to execute the event.
· Maintains the highest level of quality customer service with walk-in appointments and the POCs of events to ensure their satisfaction, including correspondence via phone, email, and in-person appointments.
· Maintains data management of the Events Department via Gather (booking software), shared drives, calendar requests, folder maintenance, etc.
· Maintains and prepares folders for Catering Meeting to include checking that all requests are completed and in proper date/time order.
· Assists in creating and disseminating various reports for the Events Department, to include the physical wall calendar, Monday/Wednesday/Friday Function Agenda and Credit/Debit monthly reports. Maintains the Events, Best Practices Manual, the Weekly Report email list, and Function Agenda Macro.
· Coordinates with other departments or agencies as required, including the IT Department, Theater & Concession Staff, Education, Volunteers, Valley Hospitality, Army, and Development.
· Accepts and processes payments for room and rental equipment.

Job Requirements
· Must be able to lift 20 pounds and move at a rapid yet professional pace to prepare and tear down event spaces.
· Requires exceptional organizational skills, and the ability to prioritize with great attention to detail.
· Requires high energy and the stamina necessary to oversee a busy event calendar with accuracy, while under pressure. Maintains positive and professional energy while communicating with multiple departments, patrons, and board members.
· Ability to work nights and weekends as needed.
Job Type: Full-time
Pay: $35,600.00 per year
