The National Landing Business Improvement District (BID) is seeking an energetic, well-organized, and detail-oriented individual to serve as the organization’s Office Manager.
The Office Manager is responsible for overseeing the daily administrative duties and business functions of the BID office, ensuring efficiency, organization, and smooth functioning. This role serves as the backbone of the office driving employee engagement and culture, fostering a positive team environment, supporting department administrative needs, and ensuring employees are informed about office policies, schedules, and other key information.
The Office Manager thrives in a fast-paced, strategic, and collaborative environment. This person should be a highly motivated and organized individual who can balance a number of concurrent projects and assignments while being responsive in a timely manner to any emerging daily needs.
This full time role will be performed from the Arlington, VA office and will report directly to the Deputy Executive Director.
Primary Job Responsibilities
Office Administration
- Oversee and manage day-to-date office operations including reception services, processing mail, meeting room scheduling, maintenance of organizational files, voting and non-voting Board member contact database management, supplies fulfillment and management, and mail retrieval
- Ensure that common use areas such as the meeting rooms, conference room, collaboration tables, and kitchenette as well as individual desks and offices are maintained, stock with sufficient office supplies and in an orderly, clean, and safe manner
- Serve as liaison with building property management team to ensure a safe, clean, and comfortable office environment
- Assistance with selecting and purchasing of necessary office furnishings and equipment
- Tracks and maintains memberships to applicable professional associations/organizations as well as relevant media subscriptions
- Oversee the maintenance and upkeep of office facility and equipment
- Support development and updating of standard operating procedures as needed, including the Employee Manual
- Support procurement and management of organizational insurance policies
- Serve as the designated office “Emergency Coordinator”
IT Management
- Oversee procurement and internal support for all Audio Visual (AV) and Information Technology (IT) infrastructure including equipment, software licensing and management of associated vendor relationships
Human Resources Administration Support
- Support HR functions of the Deputy ED and department heads including assistance with onboarding/offboarding of employees, hiring and recruitment process, and annual internship program
- Assist with management of employee benefit and retirement plans including enrollment communications and information sharing
- Manage hourly employee time keeping process
- Coordinate with senior leadership to ensure organizational culture and employee relations are values-aligned via monthly staff meetings, quarterly outings, and annual retreats
- Organizes and executes staff-related recognition and activities such as birthdays, anniversaries, or other important milestones
Events and Meeting Support
- Ensure success of BID business meetings (committees, Board, stakeholder, etc.) including meeting scheduling, planning, catering, IT support, and clean-up needs in collaboration with designated department personnel
- Provide event support to the Events Team on an as-needed basis including possible evenings, nights, and weekends
Other Duties As Assigned
Required Skills/Qualifications
- High School Diploma or GED required; associate or bachelor’s degree preferred
- At least five years of experience in a relevant field; or three years with an associate or bachelor’s degree
- Proven experience in office administration or management
- Strong organizational, multi-tasking, and written and verbal communication skills
- Ability to meet deadlines and work under pressure in a fast-paced office environment with minimal supervision
- Detail-oriented, self-starter with a problem-solving mindset and ability to work independently
- Professional, positive attitude with the ability to adapt under pressure
- Collaborative, service-oriented team player
- Proficiency in Microsoft Office Suite including the Teams environment, Word, PowerPoint, and Excel
- A valid driver’s license is required for purposes of operating company motorized vehicle (owning a car not required)
- Flexibility to work evenings and weekends as needed
- Familiarity with Arlington County and BIDs, chambers of commerce or real estate industry a plus
Salary : $70,000 - $85,000
