TITLE: Administrative Coordinator
REPORTS TO:Membership & Foundation Director HOURS:Flexible 35 hours/week
GENERAL SUMMARY:
Under the direction of the Membership & Foundation Director, assist with a variety of communications, development, and administrative needs for the NLN Foundation for Nursing Education (NFNE).
DUTIES AND RESPONSIBILITIES:
- Assist with various functions for the NFNE, including communication (email, phone, face-to-face, and written) with donors, fund founders, charitable agencies, grant and scholarship committees, Board of Trustees, applicants and grantees, and the Advisory Council.
- As assigned and according to policies and procedures of the NFNE, schedule meetings and prepare materials and various communications to support the work of the foundation.
- Support, expand, and enhance donor relationships through good stewardship practices.
- Assist with development efforts of the Foundation, including coordinating Foundation events.
- Set up Board of Trustees and Advisory Council meetings, donor meetings; prepare materials, correspondence and other documents.
- Send follow-up and thank you notes to all donors and donor referrals, including donor tax receipts.
- Assist in the collection of data for various projects and publications.
- Attend Board of Trustee and Advisory Council meetings and appropriate other meetings as assigned, taking notes and creating official minutes.
- Inventory and maintain supplies according to office needs and prepare and submit supply orders, payment invoices, and reports.
- Schedule and manage donor and prospect meetings for the NFNE.
- Maintain office and meeting environment in a manner that promotes hospitality, professionalism, and stability.
- Assist in managing and updating databases and records management.
- Assist in creating and updating web sites, social media and collateral material.
- Perform other duties as assigned by the Membership & Foundation Director.
- Travel to NLN Education Summit in September is required.
QUALIFICATIONS:
Bachelor’s degree required. Able to plan and organize work, function independently, and manage multiple tasks. Must be able to anticipate project needs, discern work priorities, and meet deadlines. Strong organizational skills, particularly regarding accuracy and attention to detail. Excellent communication skills, including verbal and written communications. Excellent interpersonal skills both in person and by phone, with high professionalism. Proficient using the latest versions of Microsoft Word, Excel, PowerPoint, Access, and mail merges; email and web searches. Competence or willingness to become competent in software, databases, and spreadsheets. iMIS experience preferred.
