The Executive Assistant (EA) is responsible for providing administrative support and for performing all administrative tasks necessary to meet the needs of the attorneys. The EA is part of the larger EA team and provides overflow assistance as needed. Qualified candidates must be detail-oriented, have excellent communication and organization skills, extensive knowledge of MS Office Suite, and experience with filing in various courts and local agencies. Primary Job Functions
- Format and proofread documents for typographical errors and substantive mistakes, as well as incorporating edits into final form
- Utilize handwritten materials to create formal documents
- Work with Paralegals to keep track of, and calendaring, important client-related events, and deadlines, as well as reminding attorneys of such events and deadlines
- Manage and maintain attorney calendars, including scheduling calls and meetings
- Printing, copying, and scanning documents
- Maintaining hard and electronic copies of files
- Filing documents with courts
- Oversee destruction of sensitive legal documents (both hard copy and electronic)
- Prepare expense reports
- Coordinate attorney travel
- Prepare client engagement letters and set up new clients in client management database
- Work with other EAs to maintain the Firm’s contact database
- Coverage for phone calls to Firm’s main number
- A clear understanding of the general, everyday use of computers and printers
- Proficient in MS Office Suite, especially Word, but also Outlook, Excel and PowerPoint
- Strong organizational skills and attention to detail
- Ability to multitask, strong time management skills, and to prioritize competing deadlines
- Type 50 WPM
- Centerbase experience preferred
- A high school diploma or equivalent (GED) is required. An AA or BA/BS is preferred
- Must have at least five (5) years of experience as an Executive Assistant/Legal Assistant working at a law firm
- Must have experience working with a team of at least four attorneys, including at all levels (junior and senior associates, counsel, and partner).
