Role Summary 

Seeking a highly organized Executive Assistant to provide support for the SVP, Life & Annuities Solutions and President/CEO of Equity Services, Inc., National Life’s Broker-Dealer. The ideal candidate is able to work with minimal direct supervision and can anticipate and plan for future organizational needs with sound judgement. They must thrive in a very fast-paced, customer-centric environment, be highly data driven, energized, and able to pivot efficiently as needed. As a pivotal member of the team, you will be instrumental in ensuring the smooth operation of the business, enabling our associates to bring peace of mind to everyone we touch. 

Essential Duties and Responsibilities 

  • Scheduling management. Manages calendar(s), schedules meetings, creates agendas and coordinates related logistics. Ensures sufficient time allotted in schedules to address top priority initiatives, as well as timely materials collection and distribution.  
  • Administrative task management. Assists with arranging travel, conferences, trainings, and accommodations as required. Creates timely and accurate business and travel expense reports; responsible for placing orders for relevant business needs; ensures timely payment of invoices.  
  • Correspondence management. Provides high-level administrative support by preparing correspondence, arranging conference calls and meetings, and facilitating meetings as required. Plans, prepares, and coordinates presentations and related materials, ensuring that they are creative, succinct, appropriate for the audience, and clearly articulate the strategy.  
  • Ensures distribution and follow-through on Product and Pricing related communications or materials to internal stakeholders or sponsors in a timely and professional manner. Similar activities are needed for the Broker-Dealer.  
  • Performance improvement. Actively supports performance improvement, leveraging technology/software to facilitate status checks, data collection, follow-ups, communications, as well as building and maintaining information sharing systems. 
  • Relationship building. Acts as a liaison for those being supported by building rapport and promoting engagement among the teams across the enterprise.  
  • Actively assists with written communication and publicity, drafting communications for both internal and external clients.  
  • Project coordination. Accepts and completes projects and other miscellaneous work items as requested. Examples include assisting with onboarding, collecting metrics, recognition/ engagement program planning and execution, task list creation and upkeep, research as needed. 
  • Other duties as assigned. 

 

Minimum Qualifications  

  • Minimum 3-5 years supporting senior level leaders 
  • Must have a customer-centric mindset  
  • Must be able to interact effectively with all levels of the organization, including senior executives, external clients, and vendors  
  • Strong organization and communication skills (verbal and written)  
  • Ability to work independently  
  • Ability to multi-task and prioritize effectively; must work well under pressure to ensure goals accomplished on-time and accurately  
  • Must be resourceful, proactive self-starter with the ability to think ahead  
  • Creative problem solver  
  • Excellent written and verbal communication skills; marketing/writing background desired to assist with drafting press releases and communications  
  • Proficient user of Microsoft Office (Excel, Word, Outlook and PowerPoint)  
  • Willing and able to work more than a 40-hour work week, as needed 
  • This position currently requires an onsite work schedule, with the expectation that you are in the office for all required workdays 

 

Preferred Qualifications  

  • Bachelor’s Degree preferred 
  • Insurance industry experience preferred 
  • Experience with detailed financial analysis and reporting preferred

The base compensation range represents the low and high end of the range for this position. Actual compensation will vary and may be above or below the range based on various factors including but not limited to qualifications, skills, competencies, location, and experience. The range listed is just one component of our total compensation package for employees.
Other rewards may include an annual bonus, quarterly bonuses, commissions, and other long-term incentive compensation, depending on the position.  National Life offers a competitive total rewards package which includes: a 401(k) retirement plan match; medical, dental, and vision insurance; a company funded wellness account for director and below employees; 10 paid holidays; a generous paid time off plan (22 days of combined time-off for non-exempt employees and exempt employees have discretion in managing their time, including scheduling time off in the normal course of business, but in no event will exempt employees receive less sick time than required by state or local law); 6 weeks of paid parental leave; and 6 weeks of paid family leave after a year of full-time employment.
