SUMMARY : The Director, Grant Initiatives and Development contributes to the NMA’s mission by effectively securing and managing grant-funded programs while ensuring their successful outcomes. Leads efforts in securing, managing, and implementing clinical, nonprofit, and government grants in alignment with the direction of the Executive Director. Writes grant proposals to secure external funding for medical education and other sponsored programming across multiple therapeutic / specialty areas. Develops and executes grant proposals and ensures high-quality, targeted proposals are submitted for funding that will enhance member value and meet / exceed funder expectations. The Director, Grant Initiatives and Development reports to the Executive Director.

Core Responsibilities :

Grant Writing

  • Writes continuing medical education grant proposals to enhance healthcare providers’ (HCPs) education and improve the care of the population served by the NMA’s members.
  • Writes educational content with input guidance from clinical subject medical experts (SMEs) including background, rationale, needs assessments, performance and proactive gaps, gap analysis, learning objectives, methods, agenda, and program description.
  • Assesses, maintains, develops, and executes the NMA’s strategic grant making process to meet and support the needs of the organization.
  • Leads the grant application process, including drafting and finalizing accurate grant proposals, letters of inquiry, responding to requests for proposals, and tracking relevant deadlines.
  • Writes project and budget modifications.
  • Performs additional duties as assigned.

Grants and Programs Development, Implementation and Administration

  • Designs and executes projects, comprising developing educational content, writing curriculums for continuing medical education and other initiatives, with input guidance from SMEs.
  • Develops and implements report procedures in keeping with grant / contract guidelines.
  • Monitors grant compliance and manages relationships with funders.
  • Supports the development of evaluation plans for proposed projects including details of educational outcome levels to be measured, described outcomes, statistical analysis, methods to be used, and specifics for proposed activities. Works with assigned project staff to collect, measure, and summarize educational outcomes.
  • Oversees the implementation of project deliverables, including assisting the coordination of webinars, events, etc.

  • Opportunity Identification

  • Systematically searches for newly released requests for proposals or call for concepts from external partners (e.g., industry, foundations, etc.) that align with the NMA’s mission.
  • Continuously monitors the healthcare environment using published studies, surveys and questionnaires, and expert recommendations.
  • Conducts market analysis and primary research related to the therapeutic / specialty area.
  • Identifies educational gaps of specific groups of researchers and clinicians, with professional guidance from SMEs including practice professionals at varying career levels (early / mid / advanced) and those treating specific diseases.
  • Develops learning objectives and program agendas that are innovative and ensure meaningful outcomes, with input from SMEs.
  • Ensures grant proposals are in compliance with the ACCME’s guidelines.
  • Maintains a database of information to use in the ongoing development of project proposals.
  • Performs additional duties as assigned.
  • Collaboration

  • Manages face-to-face and online meetings with potential funders and partners. Identifies aligned and / or new revenue-generating opportunities or programs from these meetings.
  • Supports the Executive Director in seeking and forming partnerships with organizations whose priorities align with the NMA for grant applications and project delivery.
  • Maintains a network of medical writers and investigators and works with them to develop content and provides guidance and / or revisions to ensure clinical relevance and accuracy on an as-needed basis for proposals to be submitted for potential continuing medical education and / or commercial support.
  • Provides support to principal investigators, providers, and other internal and stakeholders on funding-related matters.
  • Serves as staff liaison for the Grants and Special Project Committee and proactively briefs the Committee to empower the organization to improve its fundraising reach and impact.
  • Builds a robust pipeline of funders.
  • Utilizes a variety of research techniques and resources to conduct prospect research (corporations, foundations, government, and individual funding sources) to identify prospective funding opportunities.
  • Analyzes, interprets, and formats biographical, professional, and financial information needed to facilitate the solicitation of funds from funders by the Department.
  • Ensures that all submissions are accurately formatted and include all required information, including budgets and supporting materials.
  • Creates and implements processes for resolving faults and data loss.
  • Writes a disaster recovery plan to archive data.
  • Performs additional duties as assigned.
  • Budgeting, Financial Reporting, and Compliance

  • Ensures compliance with grant requirements, including reporting deadlines, financial accountability, and programmatic deliverables.
  • Adheres to funder-specific financial reconciliation guidelines, including but not limited to, generating line-item expense files, signing attestation paperwork, and gathering information for Sunshine Reports.
  • Works closely with the Finance department to monitor grant budgets and expenditures, ensuring alignment with grant requirements and organizational policies.
  • Prepares comprehensive and impactful grant reports, highlighting program achievements, impact, and financial accountability.
  • Collaborates with Region and Section staff to gather information, composes, and prepares multiple grant reports on routine monthly, quarterly, and annual due dates and submits both financial and compliance reports to funders on a timely basis.
  • Responsible for preparing all annual and quarterly financial reports in compliance with funders’ requirements that meet submission deadlines.
  • Develops accurate and detailed budgets for grant proposals.
  • Approves grant-related expenses, ensuring that each expense is covered by the grant budget and meets grant guidelines.
  • Creates and submits compelling and accurate impact reports for funders.
  • Collaborates with the Finance Department for financial reporting requirements.
  • Performs additional duties as assigned.
  • Grant Database

  • Produces strategic oversight of the grants database and supervision of Grants Administrator and Grant Database Coordinator.
  • Oversees staff maintain funder files, grant awards, and reporting in the grants management software / database, and conduct routine cleanup.
  • Oversees staff maintain the database by entering new and updated records, ensuring the accuracy of records.
  • Oversees staff maintain a library of common proposal attachments and develop / maintain tools to answer commonly asked proposal questions.
  • Oversees staff creating reports, specific data requests, and other materials for internal reporting purposes.
  • Oversees grants calendar in GrantHub and tracks deadlines.
  • Oversees coordinate staff training on GrantHub.
  • Works with the Grants Director and the Grants Administrator to report on metrics.
  • Performs additional duties as assigned.
  • Additional Duties

  • Stays current of clinical and scientific innovation and advances in all fields to leverage knowledge in interactions with existing and potential funders and for enhancing grant proposals.
  • Drafts press releases, MOUs, and other concept papers for submission through the Executive Director.

  • Supervisory Responsibilities

  • Supervises the Grants Administrator and Grants Database Coordinator.
