We are seeking a Billing Coordinator Specialist to manage invoicing, payment processing, and financial documentation for our construction projects. This role ensures accuracy, timeliness, and compliance with contract terms while collaborating across departments to streamline billing operations.

How can you help be a part of this exciting opportunity:
- Processes monthly billings for all clients
- Final point of quality control, ensuring our lien waivers are accurate and on time
- Ensure our billing corresponds with our customers’ requirements by verifying billing requirements and conducting accuracy and quality control
- Project audit and reconciliation
- Work with Vice Presidents and project managers to ensure billings are complete, accurate, and timely
- Create necessary support documentation such as a schedule of values and AIA forms.
- Makes sure that lien releases have been requested in a timely manner and attached to the invoice prior to submitting the invoice
- Work with Project Managers to collect estimated progress billings
- Oversee construction contract administration and submittal log process to ensure that the contract document requirements are met throughout the construction process
- Make your mark through effective communication skills with other members of the team to ensure that potential billing issues or payment delays are properly escalated and resolved
- Collections
- Escalate any difficult collection and or billing issues to VP’s, Sales, Management, and Legal
- While managing collections and outstanding invoices, maintaining professional and positive relationships with clients to preserve business relationships
- Address Billing Inquiries, client questions or disputes related to invoices. This includes clarifying discrepancies, providing supporting documentation, and working to resolve any issues that may delay payment.

Qualifications:
- 57 years in background in the construction billing industry is preferred
- Experience with AIA Billing Forms /Billing applications and client portals
- 5 years in overall construction administration is a must
- Must be proficient with MS Excel
- Must be able to multitask, be extremely organized, and have excellent communication skills
- High attention to detail and accuracy
- Ability to manage multiple projects and meet deadlines
- Ability to handle client inquiries, disputes, and follow up on overdue payments in a professional manner
- Experience with lien releases and preliminary notices is a plus
- Demonstrates highly efficient time management skills
- Knowledge of certified payroll processes and requirements for public works projects
