Our multidisciplinary team focuses on speech, language, motor, and cognitive disorders, providing comprehensive care to children and families across Montgomery County, MD.

Position Summary :

The Front Desk Coordinator & New Client Scheduler serves as the first point of contact for clients, providing exceptional customer service while managing essential administrative tasks. This role includes commercial eligibility checks, new client scheduling, client rescheduling, and general front desk operations to ensure smooth and efficient daily workflow. You will also support compliance with company policies and procedures while collaborating with internal departments to facilitate scheduling, billing, and client communication.

Key Responsibilities :

Client Services & Scheduling :

Greet clients warmly, assist with check-in / check-out, and provide a welcoming environment.

Schedule new client appointments and ensure timely follow-ups.

Reschedule client appointments and maintain up-to-date and accurate client scheduling records in the EMR & rescheduling tracker.

Provide clients with necessary intake forms, weblink access, and assist in completing required documentation.

Commercial Eligibility Checks & Insurance Verification :

Confirm coverage details, copayments, deductibles, and pre-authorization requirements.

Communicate with insurance companies to verify client benefits and eligibility for services.

Inform clients about their insurance coverage, payment responsibilities, and any required documentation.

Collaborate with the billing team to resolve insurance discrepancies or coverage issues.

Front Desk & Administrative Support :

Answer and direct phone calls professionally, addressing client inquiries and concerns.

Maintain and organize front desk files, records, and confidential client information.

Ensure timely responses to voicemails, emails, and messages from clients and staff.

Assist in the collection of payments, co-pays, and outstanding balances when applicable.

Ensure the reception area is clean, organized, and stocked with necessary materials.

Compliance & Documentation :

Maintain accurate client records and ensure compliance with HIPAA regulations.

Assist in tracking and following up on outstanding client paperwork and authorizations.

Ensure all documentation, including intake forms, insurance verifications, and client agreements, is properly filed and up to date.

Collaboration & Communication :

Work closely with therapists, administrative staff, and the billing team to ensure seamless service delivery.

Communicate scheduling conflicts, eligibility concerns, or client issues to the appropriate department.

Assist in coordinating referrals and maintaining provider availability.

Qualifications :

High school diploma or equivalent required; associate or bachelor's degree preferred.

Minimum of 2 years of experience in a medical office, healthcare administration, or front desk role.

Experience with insurance eligibility verification and scheduling required.

Previous experience in a therapy, ABA, or medical setting preferred.

Strong customer service and interpersonal communication skills.

Proficiency in insurance verification and commercial eligibility checks.

Ability to handle scheduling and rescheduling efficiently in a fast-paced environment.

Strong organizational skills and attention to detail.

Proficiency in Microsoft Office Suite, scheduling software, and EMR systems.

Ability to multitask and prioritize tasks effectively.

Physical Requirements :

Sitting frequently for 6-8 hours / day for scheduling, insurance checks, and documentation.

Standing / walking occasionally for 2-4 hours / day for client interactions and office management.

Lifting rarely, up to 15 lbs, handling office supplies or files.
