The Medical Scheduler is responsible for scheduling patient appointments and ensuring a smooth patient experience. This role involves answering calls, managing appointments, processing referrals, and verifying patient information. The scheduler ensures that patients are well-informed and that their appointments are handled efficiently.
Essential Functions:
- Answer incoming calls courteously and direct them as needed.
- Schedule and reschedule patient appointments accurately in the scheduling system, using the correct visit types, locations, and providers.
- Process referrals and request additional patient information from referring offices when needed.
- Verify and update patient demographic and insurance information.
- Follow HIPAA privacy policies and practices when handling incoming and outgoing patient calls to protect patient confidentiality.
- Inform callers about the services offered by National Vascular Associates.
- Ensure all caller questions are addressed before ending the call.
- Assist with other tasks as needed to support the scheduling department.
- Maintain knowledge of provider schedules, clinic locations, and
- appointment types for efficient scheduling.
- Collaborate with staff to resolve scheduling conflicts and coordinate care.
- Track and manage appointment cancellations and no-shows, following up as needed.
- Perform other duties as assigned.
Core competencies/skills required:
- Inside sales experience.
- High School Diploma or GED required.
- Medical scheduling experience.
- Medical office-related work experience required.
- Must be able to work Monday through Friday 8:30 AM – 5:00 PM.
- Demonstrated proficiency with computer technology and medical terminology.
- Ability to handle multiple tasks on a timely basis and work in a team environment.
- Excellent verbal and written communication skills.
- Must be a self-motivated team player.
- Demonstrated ability to speak effectively and present a pleasant, professional demeanor/image during telephone conversations or in person.
- Adherence to following established procedures and making sound decisions based on those procedures.

Pay: $15.00 - $16.00 per hour
