What are the responsibilities and job description for the Office Manager position at National Vascular Associates?
The Office Manager maintains office services by organizing office operations and
procedures, controlling correspondence, maintaining filing systems, reviewing and
approving time records and assigning and monitoring clerical functions.
Essential Functions:
Team Leadership: Supervise and lead a team of administrative and clinical
staff, fostering a positive and collaborative work environment. Monthly staff
meetings. Assist with interviewing and hiring of office staff.
Patient Care: Ensure that patients receive outstanding care and service.
Coordinate care for patients and their families. Work closely with the front office
administrative team at our Podiatry clinics for referrals.
Office Operations: Oversee daily office operations, including appointment
scheduling, patient registration, verifying insurance eligibility and benefit
information, and medical record management.
Compliance: Ensure that the clinic adheres to all relevant healthcare
regulations and maintains compliance with policies and procedures. Ensure
100% compliance with HIPAA and OSHA requirements.
Inventory Control: Monitor and manage clinic supplies and equipment.
Quality Assurance: Implement quality assurance measures to maintain the
highest standards of patient care.
Reporting: Generate reports and analyze data to track clinic performance and
identify areas for improvement.
Staff Training: Provide training and support to staff to enhance their skills and
knowledge. Cross training of staff for versatile staffing. Take responsibility when
the office team makes mistakes in coaching and learning sessions.
Other duties as assigned by the supervisor on an as needed basis.
Core Competencies/Skills Required:
- A minimum of 2 years of leadership as a medical office manager to include vascular experience
- Strong computer literacy.
- Leadership qualities with good communication skills.
- Conflict Resolution skills are a must.
- Working knowledge of HIPAA & OSHA compliance.

- Strong organizational skills with the ability to multitask effectively.

- Ability to handle confidential information with discretion.
- Familiarity with phone systems and other office equipment.
Preferred:
- Bachelor’s degree in healthcare management, business administration, or related field.
- Experience with Athena EHR
