We are seeking a highly creative, experienced, and organized Show Producer to lead the conceptualization, planning, and execution of both the Opening and Closing Ceremonies for the 2025 National Veterans Wheelchair Games, which will be held July 17-22, 2025 in Minneapolis. The goal is to transform them into unforgettable experiences and elevate the Veterans’ excitement during these events. The Show Producer will work closely with and report to the Department of Veterans Affairs and Paralyzed Veterans of America’s Marketing and Communications Leads. He / she will be responsible for managing all aspects of production, from concept, script development, and event flow to technical execution and “wow factor” elements that captivate attendees (i.e. lighting, sound, camera and screen placements, confetti drop, music selections, etc). Additionally, the Show Producer will schedule and lead table reads with all emcees. The Show Producer will coordinate with on-site staff to help organize schedules and other details for events participant rehearsals, and tech run-throughs, ensuring smooth coordination and integration of all elements under the oversight of PVA and VA.

Key Responsibilities :

1. Event Concept Development

o Generate innovative ideas for the Opening Ceremony and Closing Celebration experience, introducing unique elements that enhance audience engagement.

o Collaborate with stakeholders to refine the event vision and translate it into a cohesive production plan.

o Craft and present show elements and ideas to joint comms leads for consideration.

2. Run of Show & Script Development

o Draft, manage, and finalize both Run of Shows.

o Draft, manage, and finalize both scripts.

o Integrate stage directions, as well as lighting and graphic cues, into both scripts for a seamless event experience.

3. Creative Direction

o Incorporate visually impactful and memorable “wow factor” moments, such as ceremonial performances, music, and interactive elements into both events.

o Ensure all creative components, including stage decor, custom lighting, sound designs, and special installations, align with the event’s overall theme and objectives.

4. Venue Setup & Execution

o Oversee the physical stage, order of U.S. and military flags, bleacher build-out, co-branding, and special installations of the event space, managing timelines and ensuring readiness for Opening and Closing events.

5. A / V and Technical Crew Management

o Lead the audiovisual team in planning and execution, ensuring technical setups meet creative requirements.

o Act as the point person for all A / V needs during the event and troubleshoot as needed to maintain high production quality.

6. Flow & Staging Coordination

o Serve as the Creative Director, managing event flow and staging for smooth transitions between activities.

o Organize and direct the entrance / exit of presenters, athlete parade, ceremonial torch, and other key segments.

7. Stage Direction and Cue Management

o Implement and oversee the timing of lighting, music and graphic cues, maintaining alignment with the script throughout both ceremonies.

Experience

This role requires a strategic and detail-oriented leader with a strong background in show production. Proven experience in managing productions for large-scale events, ability to communicate with multiple parties pre- and post-production, and event staging for effective team management is required. Must have knowledge of AV equipment, lighting, and set construction. Experience working with nonprofits, federal agencies, and individuals with disabilities and military / veteran personnel preferred. Visual documentation / portfolio of work samples is required.
