Overview :

We are looking for a highly organized and adaptable Administrative Assistant to support our Human Resources and Operations teams. This role will be in charge of the front desk, ensuring a professional and welcoming environment while assisting with various administrative, HR, and operational tasks.

The ideal candidate will have prior administrative experience, preferably with exposure to HR tasks such as handling reports, managing documentation, and assisting with candidate screening. We seek a team player who is proactive, detail-oriented, and comfortable working in a fast-paced environment.

Key Responsibilities :

  • Manage the front desk, answer and direct calls, and assist with general inquiries.
  • Greet visitors professionally and provide assistance as needed.
  • Handle incoming and outgoing mail, ensuring timely distribution.
  • Manage office supplies and assist in maintaining an organized workspace.
  • Serve as the point of contact for incoming packages and deliveries.
  • Assist in various administrative tasks as assigned.
  • Assist with light screening of candidates, including initial communication and scheduling interviews.
  • Maintain and update HR records.
  • Support in the preparation of HR reports and documentation.
  • Help with onboarding paperwork and ensure compliance with filing requirements.
  • Respond to employee inquiries and direct them to the appropriate HR contact.
  • Prepare basic operational reports, ensuring accuracy and timely submission.
  • Assist in collecting and organizing data for internal reporting purposes.
  • Provide general support to the Operations team as needed.
  • Help coordinate internal communications related to operations and HR.
  • Distribute payroll checks and ensure accurate mailing details.
  • Handle check payments for freight carriers, including making copies and preparing labels.
  • Transport accounting paperwork to the designated area daily.

Requirements :

  • At least 1 year of experience in an administrative role, preferably with HR exposure.
  • Strong organizational skills and ability to manage multiple responsibilities efficiently.
  • Experience with basic HR tasks such as documentation, reports, or candidate screening is a plus.
  • Professional, team-oriented mindset with a proactive attitude.
  • Excellent verbal and written communication skills.
  • Ability to handle confidential information with discretion.
  • Adaptability to assist in various areas as needed.
  • Hourly Rate : based on experience.

    Benefits :  Dental, health, and vision insurance, paid time off, and life insurance.

    Schedule :  Monday to Friday, 8 AM to 5 PM.
