We are currently hiring for a temporary Assistant Property Managementposition, with the potential for full-time employment. Our current assistant will be out of the country this summer but will return in the fall to complete her real estate license course. Position Overview
We are seeking a dedicated and detail-oriented Assistant Property Manager to join our dynamic team and support our licensed property managers with administrative and operational tasks. This includes advertising rental properties, data entry, maintenance coordination, expediting, and general office tasks. While this is a temporary position, we are looking for someone who is eager to learn and may be interested in obtaining a real estate license in the future. No obligation needed. This role is essential in supporting the daily operations of our property management activities, ensuring a high level of customer service and efficient management of property leasing and facilities. The ideal candidate will possess strong organizational skills, a customer-focused mindset, and the ability to manage multiple tasks effectively.
Duties
Advertising and Marketing
- Post rental listings and update weekly on AppFolio and other advertising platforms
- Refresh or remove advertising as needed when a rental is no longer available
- Email vacancy lists to prospective tenants upon request
- Take photos and videos of upcoming rental properties for marketing purposes
- Show properties to prospective tenants once licensed
Data Entry and Administrative Support
- Enter new property owners and properties into AppFolio
- Input rental applications and run background reports as directed
- Respond to guest inquiries and send rental applications
- Upload lease agreements and contract documents to tenant/owner portals
- Gather and update utility information for upcoming vacancies
- Prepare lease agreements for property managers based on property file details
- Send DocuSign forms to clients and tenants
- Process and enter invoices into AppFolio
- Close out work orders in AppFolio
- Prepare and mail payments to maintenance vendors
Maintenance Coordination
- Schedule and follow up on maintenance requests as needed
- Coordinate seasonal preventative maintenance and document completed work
- Maintain owner and property notes for recurring maintenance needs such as fuel, septic, and boiler services
- Close out completed work orders upon manager approval
General Property Support
- Deliver or post legal notices as required
- Pick up and drop off necessary office or property supplies
- Expedite key copies for tenants or vendors as needed
- Conduct weekly vacant property checks in the winter or as required
- File and organize tenant and property management records
Experience
- Strong communication skills, both verbal and written
- Ability to multitask and stay organized in a fast-paced environment
- Basic knowledge of office software and data entry (experience with AppFolio is a plus)
- Willingness to learn and grow within the company, with potential to pursue a real estate license
- A valid driver’s license and reliable transportation for property-related tasks
