Description:

Nationwide Housing Corporation is seeking an outgoing, professional, and dedicated Leasing Specialist to join our team! Our Leasing Specialists are responsible for providing information about the property and the community to the prospective client. They are responsible for leasing the property under acceptable and predetermined conditions, greet visitors and determine if the community can meet the qualifications of the prospective client, and effectively explain to the client all the leasing policies. The Leasing Specialist is also responsible for assisting the Property Manager with keeping track of all the leasing paperwork including the application papers, leasing agreements, employment and credit checks, and lease move-in packets. The Leasing Specialist completes service requests and corresponds to the maintenance department. They support overall marketing techniques and offer suggestions that can help in the promotion, advertising, and marketing of properties. Maintain an accurate and a thorough knowledge of all the aspects of the property, specifically in areas like fair housing. PRIMARY DUTIES

Leasing

  • Represent Nationwide in a professional manner at all times.
  • Respond to all incoming requests for information from prospective residents in a timely professional manner.
  • Promptly answer all telephone, internet, and email inquiries from prospective residents.
  • Schedule viewing appointments and welcome walk-in appointments.
  • Interview prospective residents with the purpose of determining resident needs and qualifications for renting in the community.
  • Conduct property showings, tour the property with prospective tenants and emphasize the benefits and amenities we offer.
  • Perform diligent follow-up with prospective tenants to maximize rental opportunities.
  • Inspect the property daily to ensure Nationwide standards on cleanliness and curb appeal are being upheld.
  • Complete and review all leasing paperwork.
  • Ensure resident files are complete and all documents are executed properly.
  • Maintain daily prospect logs and prospect databases.
  • Assist with scheduling and coordinating move-ins.
  • Conduct move-in orientation with new residents, reviewing policies and move-in procedures.
  • Perform community out-reach marketing with the Property Manager.
  • Assist Property Manager with general property and related administrative duties.

Administrative Operations

  • Assist in entering and closing work orders and entering assets into Real Page.
  • Transmit information and documents to tenants/vendors, using computers, mail, or facsimile machines.
  • Provide administrative support tasks such as copying, mailing, and filing and maintaining records.
  • Handle administrative details and keep projects on time.
  • Keep supervisor informed of activities, results of efforts and potential problems; recommend corrective actions.
  • Open, date stamp, sort and distribute mail incoming mail and prepare and process outgoing mail.
  • Record incoming tenant payments.
  • Greet people entering the rental office, determine nature and purpose of visit, screen to control interruptions and direct to specific destinations.
  • Answer, screen, and forward calls, provide information, take messages, and transfer calls.
  • Maintain an adequate inventory of office supplies and ensure all areas have needed supplies.
  • Coordinate the repair and maintenance of office equipment.

SECONDARY DUTIES

  • Completes various tasks and manages miscellaneous projects and as needed by management and/or to accomplish company, property, or compliance objectives.
Requirements:

DESIRED EDUCATION AND EXPERIENCE

  • High school diploma or equivalent
  • 1 years' experience in customer service
  • 1 years’ experience in sales
  • Excellent communication and organizational skills

KNOWLEDGE, SKILLS, AND ABILITIES

  • Excellent interpersonal communication skills and relationship building skills to effectively work with a variety of people and personalities, including developing relationships with customers, prospective customers, vendors, and coworkers.
  • Able to communicate clearly in person and in writing; able to write effective business correspondence.
  • Must possess a positive attitude and exhibit a positive approach to interacting with prospective, current, and former residents, coworkers, vendors, government officials and anyone else with whom Nationwide does business.
  • Understand and display high levels of internal and external customer service.
  • Effective time management skills apply to meet all deadlines.
  • Displays flexibility to meet organization’s unique needs.
  • Works with a take-ownership approach and operates with a sense of urgency.
  • Works as an effective and proactive team player; understands the importance of supporting members and coworkers.
  • Present self in a neat, clean, and professional manner always throughout the workday and/or whenever representing Nationwide.
  • Able to work a flexible work schedule.

PHYSICAL REQUIREMENTS NECESSARY TO PERFORM THIS JOB

Incumbent must be able to:

  • Hear and speak to use the telephone and communicate with people inside and outside the office.
  • Apply manual dexterity and visual acuity for computer keyboarding and office equipment use.
  • Visual ability to use computers and read reports, emails, and notes; visual ability to perform property and unit inspections.
  • Physical ability to lift to 50 pounds as needed.
  • Physical ability to move around property as needed to perform rounds, inspections, and safety checks, meet with residents, address emergencies, and perform other property operations as needed.

TOOLS AND EQUIPMENT USED

Incumbent must be able to:

  • Use multi-line telephone, calculator, copy machines, computers, and other office equipment.
  • Understand the use of and operate basic hand tools to perform light maintenance as needed.

WORK ENVIRONMENT

The work is both indoors and outdoors. Must be able to go outside in all MN weather conditions and varying temperatures to address property-related issues. There will be periods spent in extreme temperatures and weather conditions including heat, cold and humidity when performing daily tasks and property inspections and tours.This job description does not necessarily list all the functions or accountabilities of the job.
