POSITION SUMMARY
Under the direct supervision of supervisor or designee, provide assistance with purging, scanning, creating batches and posting batches of various member records. This role will rotated throughout varies departments across the agency to provide support as needed. The Native American Health Center is an accredited institution and adheres to the standards of excellence set forth by the Accreditation Association of Ambulatory Health Care (AAAHC) and the Commission of Dental Accreditation (CODA).
DUTIES AND RESPONSIBILITIES
- Responsible for purging of active medical, dental, behavior health and billing records and filing into the inactive files according to the organization policy and procedures.
- Must maintain files in a clean, organized and timely manner and ensure the security, physical safety and confidentiality of the medical record.
- Responsible of documenting records that are moved from active to inactive status.
- Responsible for preparation and documenting inactive records for destruction according to organizations policy and procedure.
- Under direct supervision, may abstract paper records and file into the electronic health record.
- Data enter the medical record into the electronic record management systems. (i.e. deceased, inactive, purged, change of address).
- Collaborate with Communications Department for Special Events on an as needed basis.
- The employee shall work well under pressure, meet multiple and sometimes competing deadlines. The employee shall at all times demonstrate cooperative behavior with supervisors, subordinates, colleagues and clients.
- Provide a summary of work status on a daily basis to supervisor.
- Other duties as assigned.
- Work collaboratively with, and support the activities of the clinical data team and billing staff, ensuring optimal accuracy and performance on purging files.
- Quality Improvement: Actively participate in internal quality improvement teams and work with members proactively to drive quality improvement initiatives in accordance with the mission and strategic goals of the organization, federal and state laws and regulations, and accreditation standards, when assigned.
- Must maintain compliance with ergonomic safety standards; be mindful of posture and regularly practice ergonomic stretches.
- Member Care: Demonstrate understanding and apply working knowledge of safety policies and ensuring safe member practices.
- Employee Safety: Safely performs all duties; follows required protective protocols to ensure personal safety as well the safety of others.
- Must maintain compliance with ergonomic safety standards; be mindful of posture and regularly practice ergonomic stretches.
- Quality Improvement: Actively participate in internal quality improvement teams and work with members proactively to drive quality improvement initiatives in accordance with the mission and strategic goals of the organization, federal and state laws and regulations, and accreditation standards, when assigned.
- HIPAA: Keep all protected health information (PHI) confidential and abide by HIPAA policies for the release and disclosure of any PHI. Will report unauthorized use of disclosure of PHI immediately, to supervisor or HIPAA security officer.
- Work well under pressure, meet multiple and often competing deadlines.
- At all times demonstrate cooperative behavior with supervisors, subordinates, colleagues, clients and the community.

MINIMUM QUALIFICATIONS
1. Experience with Microsoft Office Suite
2. Excellent communication and written skills and detailed orientated.
3. Experience scanning heavy documentation.
4. Ability to work independently and as part of a multi-disciplinary team.
5. Ability to work well under pressure, analyze and evaluate individual members needs, reach sound conclusions and make appropriate recommendations.
6. Must be detail oriented and be able to multi-task effectively.

8. Must be able to meet set priorities as directed by supervisor.
9. Must be detail oriented and a team player.
