POSITION DESCRIPTION
Natividad and the Monterey County Health Department are currently seeking to fill several permanent and temporary Patient Services Representative II positions in Admitting/Registration, Clinic Services, and Behavioral Health Bureaus of the Health Department. Under general supervision, incumbents perform general registration duties. These incumbents are responsible to interview patients to collect, verify, and document billing information related for each patient encounter and accurately enter the data into the information system. We are seeking individuals that are customer service oriented, have flexible schedules (some positions will require weekends, nights and holidays), self-motivated multi-task oriented, and have the ability to work individually and with team members to support various registration functions to achieve the highest quality possible.
Examples of Duties
SIGNIFICANT RESPONSIBILITES OF THE POSITION
- Welcome and assist patients and visitors into Outpatient Clinics, or Hospital admitting department
- Interview patients to obtain necessary new or updated information or forms related to patient identification, payor sources, employment and other information, for Hospital pre-admissions and admission, Clinic services, laboratory and diagnostic services, and emergency treatment
- Enter patient information into a computer system; prepare Hospital or Clinic paperwork or admission packets, and assist patients with completion of forms and paperwork
- Schedule appointments for patients in Clinic utilizing a computerized patient registration system
- Screen and refer patients to publicly funded payor programs for eligibility evaluation
- Contact programs to verify patient enrollment and current eligibility request and coordinate retrieval of existing or set up of new charts with medical records
- Arrange or provide patient escort to appropriate hospital or Outpatient Clinic or clinical unit
- Collect additional insurance data, lien, and release information prior to the end of the patient clinical appointment or inpatient discharge
- Receive deposits, issue receipts, and maintain cash logs
- May translate for non-English speaking patients and receive and transmit messages to providers, clinical and/or nursing personnel in a timely manner, including prescriptions and laboratory results
- Positions at Natividad Medical Center prepare emboss forms and patient identification bands; may obtain diagnosis from Emergency Room staff and enter name of attending physicians; may notify clinical, administrative, or nursing supervisors of incoming admissions and diagnosis, deliver charts and information to units for new admissions
- May be assigned as a Disaster Service Worker as required
- Performs other related duties as assigned

Will have proven track record demonstrating the following knowledge, skills, and abilities:Working Knowledge of:
- Patient admission and registration procedures and requirements necessary for patient screening, pre-admission, and admissions
- Requirements and procedure of the variety of payor sources encountered in order to determine patient eligibility
- Operations and requirements of an admission and registration computer system typical to hospitals or clinics
- Publicly funded payor sources and program enrollment
- Medical terminology usage and spelling in order to complete pertinent registration and admission documents
Some Knowledge of:
- General office procedures, filing and keyboard operation and medical terminology, medical billing, coding, medical software, CPT codes, and ICD-10 codes
- Alphabetical filing in order to file and retrieve patient records
- Basic arithmetic in order to compute fees and make correct change
- Define insurance terminology
Skill and Ability to:
- Interview individuals and obtain comprehensive and accurate information under unpleasant or urgent circumstances
- Effectively operate standard office equipment including a computer, copier, facsimile machine, and/or computer keyboard
- Prepare and process forms and paperwork
- Prepare and maintain patient files and records
- Perform arithmetic calculations related to deposits and totaling cash logs
- Specified positions may require skill in translating for non-English speaking patients
- Establish and maintain effective working relationships with those contacted in the course of work including staff and other County departments
- Use sound judgment within established guidelines in the performance of job duties
- Understand and carry out written and oral instructions
- Obtain personal, employment, financial and payor source information provided
- Operate a computerized system for Outpatient Clinics, Hospital admitting, or other clinical registration system rapidly and accurately
- Communicate verbally with patients and co-workers in a clear and effective manner in a noisy waiting room environment
- Effectively communicate orally and in writing in order to document patient registration and clinical or admission information
- Establish rapport with individuals in order to obtain personal information through interviewing
- Provide excellent and courteous customer service to those contacted in the course of employment

EXAMPLES OF EXPERIENCE AND EDUCATION
Experience: Two (2) years of hospital admission or medical Outpatient Clinic registration experience
OR
Two (2) years of experience at a level equivalent to Monterey County's Patient Services Representative I
OR
One (1) year of hospital admission or medical Outpatient Clinic registration experience and completion of an advanced level clerical training programAdditional Information
CONDITIONS OF EMPLOYMENT
- Natividad requires that all incumbents pass a pre-employment physical/medical assessment.
- Natividad will conduct a thorough background and reference check process which includes a Department of Justice fingerprint check.
- Employees who drive on County business to carry out job related duties must possess a valid CA Driver License for the class vehicle driven and clean driving record.
- Employees must have and show their original Social Security Card and a valid CA Driver License or CA State ID prior to the first day of work.
- Incumbents may be required to work all shifts, including weekends and holidays;
- Incumbents may be required to work with potentially hazardous and infectious substances.
