Position Summary
We are currently seeking a highly organized and professional Office Assistant to serve as the face of NGPS at our Odessa, TX office. This role is responsible for managing front desk operations while also providing vital administrative support to the Director of Operations and the wider office team. The ideal candidate will be dependable, personable, and capable of handling multiple tasks with efficiency and discretion.

Key Responsibilities
Front Desk & Reception:
- Greet all visitors, clients, and vendors with professionalism and courtesy, creating a welcoming atmosphere at all times.
- Manage incoming phone calls: answer, screen, and route calls to appropriate personnel; take clear and accurate messages when necessary.
- Maintain cleanliness and organization of the front desk and lobby areas, including managing visitor sign-in/out procedures.
- Handle deliveries, sort and distribute incoming mail and packages.
Administrative Support:
- Provide direct administrative support to the Director of Operations, including scheduling, calendar management, and documentation preparation.
- Draft, review, and edit correspondence, memos, spreadsheets, and reports as needed.
- Maintain accurate digital and physical filing systems for operations, personnel, and project documentation.
- Track office supply inventory and handle ordering to ensure the office remains fully equipped.
- Assist with onboarding new employees by preparing workspace, materials, and coordinating orientation schedules.
- Support company-wide communications and internal event coordination.
Office & Operations Support:
- Liaise with building management, IT, and service vendors to coordinate repairs, maintenance, and operational needs.
- Assist with internal audits and documentation control.
- Provide backup support for other administrative team members when necessary.
- Maintain confidentiality of sensitive company, financial, and personnel information at all times.
Qualifications
- Required: High school diploma or equivalent.
- Preferred: Associate degree in Business Administration, Office Management, or a related field.
- Experience: Minimum 1 year in a receptionist, administrative assistant, or office support role.
- Strong verbal and written communication skills.
- Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Excellent organizational and time-management abilities.
- Strong attention to detail, professionalism, and a customer-first mindset.
- Ability to work independently and as part of a collaborative team.
- Must be dependable, punctual, and maintain a high degree of confidentiality.
Schedule
- Standard Hours: Monday to Friday
- Additional Hours: May include nights, weekends, and on-call hours as needed based on business demands
- Year-Round Work: This is a full-time, permanent position
