ESSENTIAL DUTIES AND RESPONSIBILITIES
Administrative Support:
- Provide direct support to the Site Director, Leadership Team, and plant
- Schedule meetings, organize site visits, and manage travel arrangements for site leadership.
- Maintain and update site records, including visitor logs, communications, and office supplies.
- Manage purchase orders and reconcile invoices, collaborating with Accounts Payable to ensure timely payments.
- Serve as the first point of contact for inquiries regarding systems, policies, and processes, escalating as necessary.
- Monitor adherence to safety protocols, including visitor PPE requirements and safe permit administration.
- Facilitate new hire processing, including I-9 verifications, onboarding, and orientation sessions.
- Assist HR teams with managing candidate workflows and ensure smooth integration of new hires.
- Maintain HR systems with accurate and accessible employee files.
- Organize and lead site events such as Associate Days, recognition programs, cultural activities, and leadership meetings.
- Develop and execute engagement programs to enhance employee morale and foster a collaborative workplace.
- Coordinate community outreach initiatives, sponsorships, and donations to promote positive community relationships.
- Act as a Site Touring Ambassador, hosting groups and showcasing the facility.
- Serve as the primary coordinator for site communications, including email updates, announcements, and digital displays.
- Compile and disseminate key takeaways from leadership meetings and project reviews.
- Ensure timely communication of milestones, deadlines, and policy updates to all site associates.
- High School Diploma or GED required; additional education or certifications in HR or administration preferred.
- 2 years of experience in an administrative or HR support role, preferably in a fast-paced environment.
- Proficiency in Microsoft Office Suite, SAP, Concur, and other relevant software.
- Strong organizational, communication, and time management skills.
- Familiarity with I-9 compliance and employment regulations.
- Ability to handle confidential information with discretion and professionalism.
- Bilingual skills (English/Spanish) are a plus.
- Office and plant environment with moderate noise levels.
- Full-time, non-exempt position requiring 40 hours per week, with occasional additional hours based on business needs.
- Ability to sit, stand, and move around the facility for extended periods.
- Occasionally lift and/or move up to 25 pounds.
- Specific vision abilities, including close and peripheral vision, are required.
