Position Summary:

Under general supervision of the Director of Facility Maintenance, the Project Manager is primarily responsible for coordination of resources to successfully complete projects according to schedule and budget availability. This position requires experience in construction, renovation, Life Safety Codes, and planning and management of projects in the healthcare environment. Accomplishes the Sage Memorial Hospital (SMH) construction and renovation goals by planning and organizing the assigned functions required to operate and maintain departmental activities and services. Maintains confidentiality of all privileged information.

Essential Duties & Responsibilities:

  • Serve as a lead in the development of plans for new construction, renovations, assessment of proposed projects, and ensure projects are in compliance with relevant rules, regulations, laws, and requirements.
  • Monitor and control project costs in accordance with approved project budget amounts.
  • Work closely with the Executive Team and the Director of Facility Maintenance to develop accurate project scope of work.
  • Manage project schedules to maintain efficient execution of project lifecycle from inception through project closeout.
  • Coordinate materials and labor costs to ensure projects stay within budget.
  • Provide monthly cost projection to Finance Department regarding billing activities from vendors.
  • Prepare and negotiate subcontracts as required.
  • Prepare required pre and post construction contract documentation.
  • Communicate with customers, contractors, and suppliers as well as internal personnel, as needed, to facilitate efficient and cost-effective project completion and mitigate any discrepancies.
  • Perform quality control throughout the project to maintain quality standards
  • Coordinate internal resources and third parties/vendors for the flawless execution of projects.
  • Ensure that all projects are delivered on-time, within scope, and within budget.
  • Assist in the definition of project scope and objectives, involving all relevant stakeholders, and ensuring technical feasibility.
  • Ensure resource availability and allocation.
  • Develop a detailed project plan to monitor and track progress.
  • Manage changes to the project scope, project schedule, and project costs, using appropriate verification techniques.
  • Measure project performance using appropriate tools and techniques.
  • Report problem areas (administrative, personnel, etc.) and escalate to management as needed.
  • Manage the relationship with the client and all stakeholders.
  • Perform risk management to minimize project risks.
  • Work with construction and/or project management software platform to adequately manage projects.
  • Establish and maintain relationships with third parties/vendors.
  • Create and maintain comprehensive project documentation.
  • Meet with key employees and vendors to take detailed reports and clarify specific requirements of each project.
  • Track project performance, specifically, to analyze the successful completion of short and long-term goals.
  • Develop comprehensive project plans to be shared with key employees.
  • Use and continually develop leadership skills.
  • Work closely with the Safety Officer, the Environment of Care Committee, Security, Infection Control, and other relevant SMH departments as project plans are being developed and implemented.
  • Develop spreadsheets, diagrams, and process maps to document needs.
  • Meets and complies with HR Policies and Procedures.
  • Performs other duties as required and as assigned.

Knowledge, Abilities, Skills, and Certifications:

  • Knowledge of and ability to interpret applicable tribal, federal, state, county and local laws, regulations, including The Joint Commission Standards for Accreditation.
  • Knowledge of business English, proper spelling, grammar, punctuation, and mathematics.
  • Ability to interpret and read blueprints and relevant construction documents.
  • Ability to communicate effectively in the English language both verbally and in writing with staff and the public.
  • Ability to establish and maintain professional relationships with individuals of varying social and cultural backgrounds and with co-workers at all levels.
  • Ability to work effectively with individuals and demonstrate leadership and team- building skills with empathy and enthusiasm.
  • Ability to accurately document conversations and recommendations from meetings.
  • Ability to maintain strict confidentiality.
  • Ability to speak the Navajo language and/or familiarity with the Navajo Way.
  • Ability to create and present effective presentations.
  • Ability to work independently and meet strict timelines.
  • Ability to make solid decisions and exercise independent judgment.
  • Skill in operating business computers and office equipment, including in a Windows environment, specifically Word, Excel, and presentation software (such as PowerPoint).
  • Ability to manage project management software programs similar to Procore, Bluebeam, Smartsheets, etc.
  • Skill in providing leadership to, supervising, training, and evaluating assigned staff.
  • Skill in analyzing problems, projecting consequences, identifying solutions, and implementing recommendations.

Physical Demands:

While performing the duties of this position, the employee is regularly required to sit; use hands to handle and grasp objects, reach with hands and arms; and talk and hear. The employee frequently is required to walk, stand; and stoop, kneel, crouch, or crawl. The employee occasionally lifts and/or move up to 25 pounds.


Work Environment:

Work is generally performed in an office with moderate noise level. Extended hours, irregular shifts, and travel may be required.
