Summary
The installation coordinator, in conjunction with the Installation Manager, will schedule installations with our technicians and subcontractors and keep up with open installations. In addition, the installation coordinator will maintain and monitor project schedules, work hours, and follow up on important actions and decisions from meetings. Undertaking project tasks as required.

Essential Duties & Responsibilities
HOURS: Varies – at manager discretion
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:
Maintaining communication between, the client, the installation team, and sales
Assist with accurate forecasting
Cut PO’s to subcontractors
Assist with populating and maintaining the region’s installation calendar
Track equipment:
Verify with Warehouse Manager and Purchasing Dept what has/has not arrived
Move jobs in, and out of, schedule based on delays
Receive and stage equipment in the warehouse
Track down updates on open installations assigned by PMs
Follow-up with techs to see that jobs are closed in a timely manner
Send updates to PMs assigned on open installations
Receive sign-off on jobs, including:
Ensure we have close out numbers
Survey Forms are filled out
Signature is present
Ensure all jobs are closed for end of month closing
Follow up on jobs to ensure monthly forecast is met
Process installation work orders into completed status in CRM
Review weekly project spreadsheets for date changes.
Tasks to be completed when asked by Project or installation manager:
Track equipment
Receive subcontractor invoices and verify accuracy
Receive the PO in GP
Schedule lifts
Reach out to general contractors to confirm site readiness
Submit permits applications and follow up on permit status.
o Schedule inspections
Submit Change orders
Email the customer when order is received and ask for specific timeline needs
Communicate once an install date has been set
Communicate if an install date has changed
Communicate any timeline changes to the customer
Communicate order completion to the client (if they have Smartsheet update the Smartsheet)
Attend weekly construction calls when needed and on behalf of NAVCO

EDUCATION and/or EXPERIENCE
Must have a High School Diploma.
Must be detail-oriented and proficient with Excel Spreadsheets and Word documents.
LANGUAGE SKILLS: Must have the ability to read and interpret instructions, correspondence, and operating procedures. Be able to write routine reports, correspondence, and ability to effectively present information and speak to customers or employees of organization. Excellent phone etiquette and verbal communication skills required.
MATHEMATICAL SKILLS : Must have ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio and percent and to perform these operations using units of American money and weight measurement, volume, and distance.
REASONING ABILITY: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
