ABOUT THE ROLE
This position is responsible for providing administrative support for NCU Financial Services program for internal and external members in conjunction with NCU Financial Advisors. Responsibilities include supporting the operations and marketing of NCU Financial Services program to credit union employees and members as well as appointment coordination and servicing calls in support of the NCU Financial Services program and the advisors.
WHAT YOU WILL DO (in descending order of importance and should be no more than 10, if possible)
- Schedules appointments with members and NCU Financial Advisors.
- Provides administrative support for NCU Financial Services program to include answering all incoming daily calls, making outbound calls, sending memos/correspondence, managing calendars, etc. as well as accurately maintaining member marketing lists.
- Markets the NCU Financial Services program to both credit union employees and members by assisting with seminar preparation. Assembles seminar packets, making room arrangements, keeping lobby materials well supplied and current as well as coordinating mailings to members and prospects.
- Performs daily checklist items to include document review, account changes, transfers, trades, new accounts, etc. to verify accuracy and timeliness to meet member service levels. Makes changes as necessary. Identifies items needing immediate attention or escalation.
- Performs weekly checklist items to include the reviewing of the cash and address change reports, scans all required paperwork and reviews unmatched accounts report.
- Performs monthly checklist items to include member birthday card distribution, household cleanup report and providing the monthly economic update report to all NCU Financial clients. Reviews monthly client review list and prepares and mails review letters to the clients. Runs the segmentation clean-up report to verify information and determine an appropriate ranking. Creates the new client welcome kit and updates the correspondence log as needed.
- Performs the quarterly checklist items to including pulling the client mailing lists, updating of the advertising log and organizing seminars and other NCU Financial events.
- Performs annual checklist items to include preparation and distribution of Required Minimum Distribution letters, mailing of holiday cards, processing Annual Year End/New Year letters, and ordering of new Social Security booklets.
- Performs other related duties as assigned by the NCU Financial Sales Coordinator.
QUALIFICATIONS:
Education
High School Diploma with related coursework in word processing, administrative assistance skills and general office background required.
Experience/Skills/Knowledge:
- 3 years previous experience working in an administrative support role required, preferably in a credit union or financial institution.
- Excellent organizational, analytical and problem-solving skills required to make administrative/procedural decisions and judgments.
- Ability to handle multiple projects/priorities simultaneously with limited supervision, on time and with an effective outcome.
- Must have a strong member/customer service aptitude and orientation in support of the credit union's mission, vision and core values and a commitment to helping ensure operation in compliance with all applicable regulations.
- Ability to gather data, compile information and generate reports is required.
- Must be able to work within a team environment and independently in an effective manner.
- Ability to deal with and safeguard confidential member information is required. Must possess strong service orientation skills that align with the credit union's core values.
- Excellent verbal, written, telephone and interpersonal communication skills is required.
- PC proficient, including aptitude with modern meeting software such as WebEx and Teams is required. Prior experience with Microsoft Office (Word, Excel, PowerPoint, Outlook, Visio) and the Internet is also required. Comfort/willingness to learn specialized software and systems related to investment advisory operations
- Ability to function in a commercial office environment and utilize standard office equipment including but not limited to: fax, copier, telephone, etc. Some travel required. Ability to lift up to 10 lbs. (e.g. file boxes or other office equipment)
