Responsibilities
- Manage the school office to ensure effective, efficient daily operations
- Perform school front desk administrative responsibilities
- Assist the School Principal and Vice Principals with ad hoc projects as needed
- Coordinate meetings between School Principal and other parties
- Serve as liaison between District and site personnel, parents, students, school and community organizations and general public
- Support the Office Assistant in collecting student attendance data from teaching staff and input into the Student Information System
- Oversee the preparation of daily absence reports and oversee the maintenance of accurate daily attendance and tardy records for all students
- Register, release, or transfer students according to established guidelines and procedures; assist in the completion and receipt of enrollment forms
- Support with student enrollment as needed
- Enter student and family information into database
- Prepare and maintain student records including student enrollment, class rosters, transportation, health, disciple and cumulative files
- Maintain confidentiality of records and information as appropriate
- Provide oral and written translation during school and organizational meetings, and all hard copy and electronic communication with parents
- Provide other interpreter or translation services upon request of the Principal or Vice Principal
- Update documents on Parent Square (school calendar, schedules for events, invitations like graduation) as requested by the school principal
- Work with organizational leadership on truancy procedures including but not limited to writing, printing, distributing, and filing truancy notices
- Support the coordination of school events including planning, day of coordination, and creating fliers as needed
- Coordinate purchasing process, including obtaining appropriate approvals and initiating purchases
- Maintain listing of key inventory items (e.g. capitalized equipment)
- Collect invoices from vendors and assign account coding in accordance with the school budget
- Coordinate invoice payments, including sending invoices to Navigator’s Business department for payment and facilitating payment approval process
- Complete the following time card tasks on a weekly basis: print hourly employee time cards, ensure that employees check timecards for accuracy and sign them, and if necessary, ask employees to correct errors in Paylocity, securely store signed weekly time cards in a binder
- Have the ability to supervise children in a positive manner
- Attend Governing Board Meetings and other meetings as needed
- Post agendas for board meetings and minutes online in a timely manner
- Evaluate medical emergencies, administer first aid or approved medication to students on an immediate or daily basis to meet their health care needs
- Serve as the school site COVID Designee by being the main point of contact for all testing, exposure protocol guidance, vaccination tracking, positive case reporting, and any other responsibilities related to COVID
- Perform other tasks and duties as requested by the Principal, Vice Principals, or Support Office Leadership
- Understand that we are Navigator and that all employees are required to support student learning and the day to day activities at the school

Navigator Schools is a network of public charter schools that operates four high performing schools, three K-8 schools in the Northern Central Coast area and a K-4 in Hayward. Navigator exists because a group of concerned educators and parents no longer wanted to wait for someone else to figure out how to improve the quality of public school education. Role Summary
The Office Manager is responsible for collaborating with administrators, faculty, staff, parents and students to effectively facilitate the daily operations of the school. The ideal candidate will have a deep commitment to student achievement, hold students and self to high expectations, and uphold Navigator school culture at all times.
Qualifications
- AA or BA Degree preferred, High School Diploma or equivalent required
- Bilingual in Spanish
- Commitment to student success and learning
- Knowledge of commonly used concepts, practices, and procedures within the field
- Reliance on instructions and pre-established guidelines to perform job functions
- Desire to improve professionally, open to receiving coaching and feedback
