1st Job -- Role:- ADMINISTRATIVE ASSISTANT OR ADMINISTRATIVE TECHNICIAN
Location:- THE PALM BEACH COUNTY, FL
NATURE OF WORK:
This is advanced administrative work assisting management in a wide variety of staff services or administrative functions for a Director of a large Division or a Director of a small Department.
An employee in a position allocated to this class may be responsible for planning and directing operational programs in which coordination and administrative supervision are the most important aspects of the work. Work involves assisting in overall administration and management. Errors in judgment decisions could result in substantial adverse impact to the County. Work is performed with considerable independence and only the more important assignments are reviewed.
JOB DUTIES:
- Coordinates, maintains, and oversees the activities of a specialized section.
- Renders direct assistance to a technical or administrative superior in the overall administration of division operations.
- Maintains a variety of records, compiles data, completes legal forms, timekeeping and/or payroll, and types reports and letters.
- Prepares correspondence and requests; documents and follows up on work in progress to ensure timely reply or action.
- Performs related work as required.
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:
- Thorough knowledge of business English, spelling, grammar and arithmetic.
- Thorough knowledge of office practices and procedures, systems and equipment.
- Knowledge of the standard practices in the fields of personnel management, budgeting and accounting.
- Ability to plan, direct and coordinate the work of others when required by assignments.
- Skill in the use of a personal computer, calculator, standard office equipment.
- Ability to work independently on complex and confidential secretarial tasks.
- Ability to search for and compile data from files and other sources applicable to the topic of concern.
- Ability to perform word processing and/or data entry.
- Ability to establish and maintain effective working relationships with other employees, County officials and the general public.
MINIMUM ENTRANCE REQUIREMENTS:
Graduation from high school or an equivalent recognized certification; four (4) years of diversified general clerical experience; or any equivalent combination of related training and experience.
2nd Job --- ADMINISTRATIVE TECHNICIAN
NATURE OF WORK:
This is entry-level administrative support work involving public contact on the phone and in person.
An employee in a position allocated to this class is responsible for composing correspondence and/or taking and transcribing notes. Assignments may be technical in nature and require a familiarity with specialized terminology. Detailed instructions and close supervision are received at the beginning of work and on new assignments but routine assignments are performed more independently with some initiative and judgment used as experience is gained. Work is reviewed in progress or upon completion for accuracy, content and adherence to instructions.
JOB DUTIES:
- Maintains a variety of office files and records, compiles data, completes legal forms and composes reports and letters.
- Interacts on a daily-basis with other County employees, employees from other government agencies and/or organizations, and the public.
- Performs processes on forms and records such as payroll, purchasing and personnel to keep the operation of department/division running efficiently.
- Receives and screens callers and visitors and provides information on the operation of the office and on procedures for satisfying ordinances and regulations.
- Composes correspondence, forms, reports, and other materials from templates.
- Reads and routes incoming mail and assembles files and other material to facilitate reply.
- Schedules for appointments for use of meeting facilities.
- Assembles data for the preparation of the department budget.
- Performs related work as required.
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:
- Knowledge of business English, spelling and arithmetic.
- Knowledge of office practices and equipment.
- Ability to understand and follow oral and written instructions.
- Skill in the use of a personal computer, calculator, typewriter and photocopier.
- Ability to provide information correctly and concisely, orally and in writing.
- Ability to meet and deal courteously with the general public.
MINIMUM ENTRANCE REQUIREMENTS:
Graduation from high school or an equivalent recognized certificate and six (6) months of responsible office experience.
