Job Description
We are seeking a proactive and organized Office Manager to lead internal communications and drive employee engagement initiatives across our offices at the Washington DC bureau. In this role, you will work closely with senior leadership, HR, and DEI teams to create a positive, informed, and collaborative work environment that aligns with our business objectives.
Key Responsibilities:
Internal Communication Initiatives:
- Lead and manage office-wide communication programs.
- Support senior leadership by developing and delivering internal messaging.
- Administer and enhance the internal communications website, ensuring accurate and up-to date information for both local staff, and those visiting from other bureaus/offices.
Employee Engagement & Events:
- Organize and coordinate employee engagement events, town halls, holiday and cultural celebrations, and well-being initiatives.
- Partner with HR and DEI teams to develop and deliver comprehensive employee programs.
- Implement and maintain office-wide signage and branding to reinforce our corporate identity.
- Successfully organize various employee engagement events that boost morale, inclusion, and overall team spirit.
- Support and serve as the primary point of contact for larger company-wide meetings and events that are being hosted from the Washington bureau.
Team & Executive Support:
- Oversee team meetings and manage executive communications.
- Coordinate cross-functional projects to streamline internal processes and enhance team collaboration.
- Serve as a central point of contact for employee inquiries and support.
- Lead new employee onboarding, inclusive of desk/office set up, maintaining, updating and distributing the bureau Welcome Guide for new, existing or relocating staff, and putting together Welcome gift bags for new hires or relocating staff that are new to the bureau.
Office Management:
- Maintain, edit and update the master floorplan and seating chart for the news bureau.
- Manage the office conference and huddle room calendars and resolve conflicts where needed.
- Manage the bureau visitor process, inclusive of reserving guest offices, temporary workspace and registering guests in the visitor portal.
- Office Supplies Management: Order and maintain all office, pantry, event and promotional supply items for the bureau, inclusive of business cards, note cards and thank you cards. Keeping supplies organized and fully stocked.
- Vendor Management: service as the primary point of contact for all general office vendors (i.e., Catering, Facilities and office cleaners, office & pantry supplies, first aid kits, coffee & water machines).
- Manage the Bureau Tour process, inclusive of scheduling, ensuring all guests are registered, notifying security and occasionally hosting and conducting tours for business guests, executives, high school and college groups.
- Supporting office EHS initiative inclusive of completing audit tasks lists, creating and maintaining updated Evacuation procedures, assigning Fire Wardens and keeping an updated staff Phone Directory.
- Mail Distribution: Picking up, sorting and distributing all office mail, FedEx and parcel deliveries, as well as implementing and communicating the process for staff to pick up large personal items from the mailroom.
Qualifications
Basic Requirements:
- 10 years of relevant experience.
- Proven experience in office management, internal communications, or a related field.
- Ability to work collaboratively with diverse teams and stakeholders.
- Proficiency with digital content management and event planning.
- Detail-oriented and able to manage multiple tasks in a fast-paced environment.

Additional Requirements:
Hybrid: This position has been designated as hybrid, generally contributing from the office a minimum of three days per week.
