What are the responsibilities and job description for the Meeting Planning Intern position at NC Electric?
Summary Description: The Meeting Planning Intern will directly assist the Director of Meeting Planning and other staff as needed. This internship is designed to be both educational and practical. In this position, the intern will experience events and conferences from planning to execution for events ranging from 15 to 200 attendees.
Academic and Trade Qualifications: Must be a current student enrolled at an accredited college or university, pursuing a degree in hospitality operations management, adult education, training, or communications or currently enrolled in an undergraduate degree program with an interest in working in corporate meeting planning.
Work Experience: Experience planning events or working in an office environment is desirable but not required.
Responsibilities:
- Administrative & Support Tasks:
- Assist with the registration process which includes setting up registration sites, monitoring registration for accuracy, and reviewing registration lists
- Create meeting materials such as signage, name badges, agendas, etc.
- Assist with cleanup of event invitation lists
- Create a database of past meetings and conference details
- Create a vendor brochure for conferences and events
- Assist in setting up conference mobile apps
- Create post-conference surveys in Survey Monkey
- Handle VIP hotel rooming lists and liaise between staff and hotel
- Onsite Conference/Meeting
- Greet members and assist running the registration table
- Assist the Director of Meeting Planning as directed with setup, breakdown, and hotel staff management
Job Knowledge: No electric utility knowledge or experience planning meetings from start to finish is required.
Abilities and Skills:
- Ability to handle concurrent and varied activities simultaneously is essential.
- Must work effectively with people.
- Microsoft Office 365 experience required.
- Computer literacy and ability to quickly learn intuitive event management software is preferred.
- A valid North Carolina driver’s license is required.
- Must show demonstrated ability to work with and through others to accomplish desired results and objectives.
Relationships and Contacts: Reports to Director of Meeting Planning and works alongside meeting planning team
Working Conditions: Normal office working conditions with local travel to events and conferences as agreed.
