Summary

The Events Manager works under the general direction of the Executive Director and has primary responsibility for collaborating with Education Department staff and volunteers to produce all assigned events. Events Manager supervises the Events Assistant Manager and provides direction related to assigned events. This includes oversight of/or direct support for various committees through event and meeting scheduling, planning/coordinating event activities, and continuing education unit (CEU) management. Oversight of planning and execution of certification schools. Assist with planning and support for both the Annual and Spring Conferences.


Qualification Requirements

Ability to follow oral and written instructions accurately and perform accurate arithmetic calculations. Excellent oral and written communication skills. Problem solving organizational and time management skills, analytical thinking, attention to detail, and the ability to work on tasks independently as well as collaboratively in a team environment. Ability to handle high volumes of work accurately, as well as multiple ongoing tasks simultaneously. Excellent technical, customer service/public relations skills, particularly when interacting with a variety of people. Ability to deliver services courteously, even under pressure.


Qualifications

  • Graduation from a four-year college with a major in business administration, adult education, hospitality management, non-profit management, or similar field.
  • Skill and experience in using Microsoft Office Suite of programs, specifically Word, Excel, Outlook, and PowerPoint.
  • Skill and experience with various technology or online programs (e.g. AMS, CMS, mobile apps, or WebEx)
  • At least 2 years of supervisory experience.
  • At least 2 years of experience with event planning and conference management.
  • Previous experience working with subject matter experts to develop training programs/courses is preferred.
  • Previous experience working with a volunteer, non-profit organization is desirable.
  • Professional certification is preferred but not required (i.e. CAE, CMP).


Supervisory Responsibilities

The Events Manager supervises and provides direction to an Events Assistant Manager who carries out duties related to educational programs in accordance with organization policies and applicable laws. Responsibilities include training, evaluating performance, planning workflow, and assigning and directing work to accomplish goals.


Essential Functions

  • Support for activities of various committees/taskforces, as assigned.
  • Collaborate in the development and maintenance of a complete calendar of all educational events.
  • Oversight of meeting planning for events (i.e. site selection, catering, AV), with final review and signature on all contracts to be by the Executive Director.
  •  Oversees, interacts, and collaborates with Education Department staff, volunteer committees, and subject matter experts to plan and implement education and training, including facilitation of content design and development.
  • Oversight of requests for NC DENR approvals for CEU’s for educational programs, including but not limited to those delivered through specialty training events, Institutes, Seminars and Workshops, Schools and Conferences.
  • Collaborate with Marketing and Communications staff to develop education program communications, announcements, advertising and/or publications in support of the organization's brand and overall mission. Includes gathering and transmitting information received from volunteer committees, facilities, and hotels.
  •  Oversight of education program record keeping in full compliance with record-keeping policies and any legal and/or contractual requirements.
  • Oversight of accurate and timely reporting of CEU information to event attendees and appropriate licensing agencies following event completion.
  • Review results of all surveys conducted at education programs and provide assessment and recommendations to the Executive Director and committees.
  • Assist the Executive Director with developing budgets for education-related programs.
  • Monitor revenue and expenditures for education-related programs to ensure performance aligns with approved budget.
  • Conduct all business for NC AWWA-WEA (NC One Water) in compliance with the organization’s Constitution and Bylaws and Board approved policies, and federal and state nonprofit corporate status.
  • Other duties as assigned by the Executive Director.


Physical Demands and Work Environment

While performing the duties of this job, the employee is regularly required to stand, walk, sit; use hands and fingers to handle objects, tools, or controls; reach with hands and arms; talk, hear, and drive. Employee regularly uses phone, calculator, and computer with screen for extended periods of time. The employee must regularly lift and move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. The noise level in the office is moderate and at convention facilities may be loud. This job operates in a clerical, office setting. This position routinely uses standard office equipment such as computers, phone, copier, and filing cabinets.


Travel Requirements

Some travel is required for this position.

  • Possession of a valid North Carolina driver’s license, or the ability to acquire one.
  • Bondable.
  • Willingness and ability to travel as required, including furnishing your own reliable vehicle and proof of insurance and overnight stays in hotels.
