THE ROLE
The Events Coordinator reports to the Sr. Manager, Events Marketing and manages shipping and fulfillment of industry events and user conferences. The individual filling this role will be an organized, detail-oriented, and personable teammate. The selected candidate must be capable of providing logistics support for a variety of conferences and events. The ideal candidate will be efficient at working in a fast-paced, dynamic environment and will be eager to learn and grow within the team.
YOU WILL
Manage proactive planning, communication, and scheduling for shipping a wide variety of events including industry events, user conferences, and additional internal events
Order and maintain inventory of all event supplies, promotional products, conference materials, and gifts
Establish and maintain relationships with vendors and remain under budget with all costs
Proactively address potential problems that arise and alert manager about risks and deviations to plan, and make recommendations for corrective action
Participate in pre-planning meetings for industry events and user conferences
Participate in all committee meetings leading up to the conference and support on site execution of interdepartmental initiatives
Assist maintaining registration platform and provide weekly status reports to stakeholders
Help with buildout of mobile app to create an engaging and informative experience for our customers
YOU BRING
Bachelor’s degree in hospitality, event management, marketing, or a related field with event planning experience
Prior experience coordinating large and small events; conference/tradeshow experience preferred
Proficient in Microsoft Office
Must be available to work onsite at our Brentwood, TN office
Ability to lift 30 lbs
Confidence managing multiple tasks with strong attention to detail and the ability to prioritize projects in a fast-changing environment and still meet deadlines
Ability to maintain high standards despite pressing deadlines; establish high standards
Strong verbal and written communication skills; interpersonal and follow-up skills
Polished and professional when dealing with association and venue contacts, vendors, colleagues, and executive management
BONUS POINTS
Comfortable with managing budgets
Familiarity with project management systems; Asana, Wrike, Trello, etc.
Familiarity with event software; Swoogo, EventMobi, cvent, Bizzabo, etc

Compensation Information
Pursuant to state and local law disclosure requirements, the pay range for this role, with final offer amount dependent on education, skills, experience and location is $45,000 to $55,000 per year. This position may be eligible for an annual discretionary incentive award. The incentive award amount is dependent upon company performance and your personal performance and is not guaranteed.
