Summary:
This multi-faceted role provides administrative support to ensure business needs are met, timely and efficiently. This role supports various groups, including Site Leadership, Facilities, Compliance, Finance, HR and Client Solutions. This role will coordinate office activities and operations while providing clerical and administrative support.
Regular Duties:
- Oversee the day-to-day office functions to ensure the office runs smoothly and efficiently.
Provide administrative support to staff and management, including:
- Supporting the Operations Director with handling correspondence, scheduling meetings, taking notes, etc.,
- assist with compliance related communications and maintain compliance documents and training,
- coordinating facilities and safety related matters/projects,
- maintaining inventory and ordering office supplies,
- assisting HR with tasks such as phone screens and candidate tracking,
- creating employee and visitor badges,
- updating phone lists, organizational charts, etc.,
- various housekeeping responsibilities such as ensuring a clean lobby, clean conference room, regularly running the dishwashers, distributing mail, etc., and
- assisting Finance with various tasks such as monthly benefit premium tracking, scanning and filing documents such as BOLs.
- Assisting the ARS/Client Solutions team with market research, lead generation along with other projects.
- Working with internal stakeholders, clients, partners, and vendors / providers to ensure the smooth and efficient workflow of customer projects.
- On-site, regular attendance required.
- Other job-related tasks as assigned.
Knowledge, Skills, Competencies:
- Proficient with Microsoft Office, to include Word, Excel, PowerPoint & Outlook required.
- Experience with QuickBooks Desktop a plus, including creating new customer/vendors, invoices, purchase orders and bills.
- Maintain confidentiality of sensitive and privileged information.
- Strong communication & organizational skills.
- Ability to prioritize multiple tasks and work under tight time deadlines.
- Organized, self-starter with keen attention to detail.
Physical Demands:
- Duties of this position are performed in a manufacturing environment with occasional exposure to elements such as noise, dust, chemicals, operating machinery, temperature extremes, etc.
- Duties may require periodic sustained visual concentration on a computer monitor or on numbers and other detailed data. Occasional overnight travel is required.
- Above demands are carried out within the local existing Health and Safety guidelines.
Typical Experience:
- No less than three years of relevant experience.
Typical Education:
- High school diploma or equivalent required.
