Job Title: Office/Clerical
Purpose
A. To assist the manager of the property in executing the day-to-day operations
of the office. Activities are largely confined to an office, usually working at a
desk and computer terminal.
Basic Functions
A. Answer telephone calls and either refer them to the proper person, or handle
the call according to company procedures
B. Communicate with various contacts (i.e. utility repair, service companies,
police and fire departments) regarding or services needed at the property by
phone or correspondence
C. Check references of prospective tenants to verify information received
D. Communicate with tenants and prospective tenants, deal with tenant problems,
complaints, and answer questions of overall property procedures
E. Write up work orders to assist tenants with problems, and make the
maintenance staff aware of any deficiencies on the property
F. Set-up, process and maintain new tenant files in accordance with property
filing system.
G. Maintain and track vendor and tenant Certificates of Insurance and
miscellaneous files.
H. Receive, open, sort, and distribute mail
I. Photocopy correspondence and other materials as requested
J. Process invoices by stamping, coding, and filing
K. Type correspondence, property reports (i.e. HAP requests, negative rent
reports, etc) and other materials for the resident manager or as necessary for
the property to function efficiently
L. Operate various office equipment such as a calculator, computer, copy, fax
machine, and any other machinery that assists in the operations of the office
M. Update tenant and office files and records as necessary to maintain a
professional and up to date files
N. Undertake any other duties assigned by the manager, and those normally
ascribed to an office assistant

Education and/or Experience
High School Diploma or GED. Knowledge of computer MS Office such as Word, Excel
Access etc.
Language Skills
Ability to speak effectively. At some properties, bi-lingual helpful. Ability to respond to
questions from tenants, vendors and staff.
Mathematical Skills
The ability to add, subtract, multiply, and divide in all units of measure using whole
numbers, common fractions, and decimals. Ability to use a calculator if necessary.
Reasoning Ability
Ability to apply common sense understanding to carry out instructions furnished in
written, oral or diagram form. Ability to deal with standardized situations with
occasional or no deviation from standard procedures.
Other Skills and Abilities
Ability to operate office equipment such as fax, copier, computer, telephone typewriter,
and calculator.
