Job Description

 

Job Title:                    ASSISTANT HIGH SCHOOL SECRETARY

 

Reports to:                 Principal

 

Evaluated by:             Principal

 

Job Goal:                  

1. Perform clerical and secretarial duties.

2. Provide information to parents and students to support personal and educational development of each student.

3. Develop a positive working relationship with students, staff, administration, parents, community and business.

 

ESSENTIAL REQUIREMENTS: To perform this job successfully an individual must be able to execute each requirement satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability needed for the position.

 

1. Possess a valid First Aid Card.

2. Completion of an annual Bloodborne Pathogen course.

3. Possess effective communication and interpersonal skills.

4. Possess effective organizational skills.

5. Physical ability to perform all job functions; (i.e., functional computer literacy, knowledge of word processing, spreadsheets, databases and an understanding of how computers work, phone answering skills, recordkeeping).

6. Maintains satisfactory attendance as defined in District policy and regulation.

           

PERFORMANCE RESPONSIBILITIES:

           

1. Assist with answering telephones and provide information to callers, take messages, forward phone calls as appropriate, greet visitors to building and provide information or directions.

2. Assist building administrators with administrative correspondence to staff, parents, district office and the community.

3. Responsible for maintaining and communicating the school’s schedule.

4. Generates and distributes the weekly staff bulletin and weekly trip departures.

5. Collects participation fees from students participating in the school athletic programs.

6. Monitors and tracks all student activity permission slips, student eligibility slips, physical examination records and student insurance documents.

7. Prepares and disseminates correspondence from the athletic department such as athletic schedules.

8. Collects receipts and balances all monies collected from students. Submit daily/monthly reports to District Office.

9. Collects receipts and balances all monies collected through the Meal Time Program.

10. Assists in requesting and maintaining student records, enrolling new students and entering data for new students into the computer system.

11. Collects Progress Reports from staff, organizes and mails Progress Reports to parents.

12. Prepares quarterly reports and forward those reports to the District Office.

13. Prepares, finalizes and mails student transcripts.

14. Ensures that diplomas are properly prepared and sent to graduated students.

15. Prepares, organizes and mails report cards to parents in a timely manner.

16. Generates, organizes and mails the school honor roll to parents and local newspaper(s).

17. Sorts and distributes mail.

18. Dispenses prescribed medications to students.

19. Schedules and supervises Office Aides.

20. Maintains school immunization records.

21. Organizes and posts current updates to school curriculum guide.

22. Prepares and disseminates the school Early Leaver Report.

23. Perform all other duties as assigned by the Board and/or administration.

 

ADDITIONAL CERTIFICATES, LICENSES, REGISTRATIONS, BONDING, AND/OR TESTING REQUIRED:

 

* Criminal Justice Fingerprint clearance

*  Pre-employment drug screen

* Valid First Aid Card

* Bloodborne Pathogen Training

* Meds Training

* Documented completion of at least two (2) specialized technical courses or equivalent prior experience.

 

PHYSICAL DEMANDS:

Significant physical abilities include lifting/carrying, reaching/handling, talking/hearing conversations, near/far visual acuity/depth perception/accommodation/field of vision.

 

TERMS OF EMPLOYMENT:

Salary to be according to current salary schedule agreed upon in the Classified Collective Bargaining Agreement.

 

EVALUATION:

 

The building principal will evaluate the performance of this job annually.
