Position Title: Administrative Assistant
Reports To: Admin & Design Manager
Overview of Administrative Assistant Role:
The Administrative Assistant position is an hourly opening and closing (8 am-5 pm) position that is vital to the success of the company’s organization and collaboration. This position assists our Admin Manager with multiple clerical needs including but not limited to accounts receivable/payable, invoicing, employee onboarding/offboarding, customer binders, answering phones and greeting walk- in customers.

Success in this role means the ability to do the following with minimal supervision:
- Greet walk-in customers, offer refreshments, and direct them where to go
- Restock refreshments, office supplies, and break room supplies
- Assist in planning work events with occasional evenings
- Process Payables (approx. 130 invoices/week) and monthly credit card statements
- Resolve payables discrepancies with Project Consultant or vendors
- Manage purchasing accounts (Home Depot, Lowe’s, gas cards, lumber yards)
- Process receivables: manage invoices, create customer invoices, process payments
- Perform office clerical duties and process mail
- Create new job numbers and process job sales and closings
- Maintain Active Job List with current customer contact information and production team members
- Assemble project binders for Project Consultants and Clients
- Enter new clients into Customer Relationship Management (CRM) Tool (Hubspot)
- Maintain good and effective communication with all Neal’s employes
- Promote culture with teammates
- Ability to cover for the office manager during meetings or PTO
- Assist HR with new employee onboarding, offboarding, background checks, health insurance, Worker’s Compensation claims, alarm codes, and building keys
- Assist Marketing with client gifting and referral thank you gifts
- Manage vehicle renewals and titles
- Manage company phone extensions and cell phones
