Job Description:
We are looking for a reliable and detail-oriented Office Supervisor to join our team. In this dynamic role, you will be responsible for overseeing various administrative tasks, office organization, and logistical support to ensure smooth daily operations. You will also supervise our part-time runner staff, including scheduling, training, and maintaining accountability to ensure efficiency in daily activities. This is a great opportunity for someone with strong leadership skills and a hands-on approach to office management.
Key Responsibilities:
- Mail & Fax Management:
- Sort and distribute incoming mail each morning.
- Process and deliver e-faxes promptly throughout the day.
- Prepare outgoing mail, including FedEx, UPS, and regular mail.
- Office Supplies & Inventory:
- Maintain inventory of office supplies and place orders as needed.
- Ensure all copy machines, printers, and fax machines are filled with paper daily.
- Pick up office supplies at Sam’s Club and manage supply orders.
- Daily Runs & Errands:
- Perform daily runs, including deliveries to Court, post office, and other locations as needed.
- Complete regular runs to pick up essential
- Breakroom & Office Maintenance:
- Maintain cleanliness and organization of the breakroom.
- Ensure all dishes are washed, put away, and ice is made.
- Make coffee daily in the morning, and through the day as needed.
- Library & File Management:
- Retrieve and file documents from the file room and storage.
- Assist with closing and logging files.
- Training & Support:
- Train new team members in office procedures and operational tasks, such as making coffee, performing runs, and handling paperwork.
- Provide support for various administrative tasks like serving subpoenas, liens, summons, and helping with mail processing.
- Miscellaneous Tasks:
- Assist with light office maintainence tasks as needed.
- Change toner in office machines and help with office upkeep.
- Help with bank deposits and assist other departments as required.
Requirements:
- High school diploma or equivalent; relevant experience in office support or operations is a plus.
- Strong organizational skills and attention to detail.
- Ability to multitask and handle multiple priorities in a fast-paced environment.
- Reliable and able to work independently with minimal supervision.
- Excellent communication skills and a team-oriented mindset.
- Ability to operate office machinery (copiers, printers, fax machines).
- Must have a valid driver's license and clean driving record.
Schedule:
Monday - Friday: 8:00 AM – 5:00 PM
