Purpose of this Role
The Development and Database Coordinator is a member of the Development Team, supporting the fundraising and development efforts of the organization. This position is responsible for database management, donor stewardship, special event logistics, and administrative tasks that enhance the organization’s relationships with donors, partners, and the community. This role serves as a critical liaison between donors, the community and the development team to ensure smooth operations and excellent donor experiences.
Primary Responsibilities
This position is responsible for processing, recording and sending correspondence for all incoming donations, maintaining data integrity and running reports from our donor database, Raiser’s Edge (RE) to support fundraising campaigns and organization-wide needs. This role, as the RE subject matter expert, will partner closely with our Finance and IT team, ensuring the database is accurate and updated.
Responsibilities are generally categorized and prioritized as follows:
Database Management & Gift Reporting
- Manage the Raiser’s Edge database, including payment tracking, acknowledgments, and reminders for donors.
- Enter and maintain accurate donor and gift information in the donor database.
- Generate donor acknowledgment letters and tax receipts in a timely manner.
- Run regular and ad-hoc reports to support fundraising strategy and campaigns.
- Ensure the database is up to date, including donor segmentation and campaign coding.
- Coordinate with the finance team on database and donor reconciliation, annual audits and ensure accurate reporting.
- Assist in aligning program outcomes with fundraising goals and reporting requirements.
Donor Correspondence & Stewardship
- Draft and send donor thank-you letters and other stewardship communications.
- Support the planning and execution of stewardship strategies, such as donor recognition initiatives.
- Respond to donor inquiries with professionalism and gratitude.
- Participate in direct stewardship phone outreach.
- Assist with administrative tasks such as filing, organizing development materials, and preparing mailings.
Event Logistics
- Assist with planning and executing fundraising events, including managing RSVPs, preparing materials, and coordinating logistics.
- Attend events as needed, providing on-site support for setup, registration, check-in, payment processing, and tear-down.
- Work with vendors, volunteers, and staff to ensure event success.
Administrative Support & Other Duties
- Maintain development supplies, such as stationery and event materials.
- Handle incoming mail, including sorting, logging donations, and routing correspondence to appropriate staff.
- Participate in team meetings and organizational activities.
- Support the front desk by providing coverage as needed, ensuring excellent customer service for visitors and callers.
Minimum Qualifications
- Associate or Bachelor’s degree in nonprofit management, development, communications, or a related field. Will consider relevant work experience in lieu of degree.
- 3 years of experience working with a development database in a comparable (non-profit, philanthropic) environment.
- 3 years experience working and communicating with the public, donors, customers, clients, etc. in a development, sales or communications environment.
- Proficiency with donor databases (e.g., Salesforce, Raiser’s Edge) and Microsoft Office Suite.
- Analytical and critical thinker who identifies inefficiencies, areas for improvement and data trends.
- Strong attention to detail and ability to manage multiple tasks simultaneously and pivot as needed.
