ESSENTIAL FUNCTIONS:

- Oversee, track and take restaurant reservations
- Oversee, book, plan, and reserve any large party and contracted groups in the restaurants
- Maintain and assure proper group bookings are tracked and assisted with
- Organizing and assisting managers of the department with administrative duties.
- Send and retrieve all physical mail and correspondence for distribution and review
- Answer telephone in F&B office
- Coordinate and schedule meetings and events to be attended by management team
- Maintain tracking systems and F&B Software (Agylisis), Opentable, DPO.
- Attend all departmental meetings and create meeting minutes
- Assist management team in all areas to better expedite the progress of agenda items, programs, deadlines, and general activities and attend daily meetings
- Being a point of contact for a range of internal departments and external stakeholders.
- Coordinate, write, edit, and distribute communications, SOP’s, PPE’s to departmental team members and stakeholders
- Maintain contracts with external venders, entertainers, and stakeholders and act as a resource to internal associates on contract issues.
- Writing and issuing emails to team and departments on behalf of leadership and senior teams within F&B department.
- Greeting and directing visitors and new associates with onboarding and to organizations
- Provide support to F&B Executives and Senior Leaders
- Produce reports, presentations and briefs
- Undertaking key HR duties, including drafting of new associate management training plans, manuals, meetings, and setup of office computer needs
- Attend all F&B meetings as the note taker/ point of contact
- Represent the F&B Team in Resort Meetings in absence of management
KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:
- Friendly and outgoing personality.
- Excellent communication skills.
- Must be at least 18 years of age.
- Must be able to lift up to 25lbs.
- Must be able to speak the English language fluently.
- Must be able to handle high-pressure situations.
- Basic computer skills
- Strong organizational skills & ability to prioritize tasks.
- Ability to interface professionally with business contacts and customers.
- Strong understanding of hospitality industry helpful.
These skills and abilities are typically acquired through the completion of a high school diploma or equivalent, as well as through a minimum of 2 years of experience in a guest service role.
