Position Summary Information
Summary
Support the planning, execution, and evaluation of university programs. This position involves managing multiple aspects of program operations, including logistical coordination, stakeholder engagement, budget oversight, and outcome assessment.
Principal Functional Responsibilities
Program Planning and Development: Assist in the development of program objectives, goals, and timelines. Collaborate with program managers and stakeholders to outline program requirements and deliverables. Coordinate logistics for program activities, including scheduling meetings, securing venues, and arranging necessary resources. Cultivate positive relationships with program stakeholders.
Implementation and Coordination: Oversee the day-to-day implementation of programs to ensure they align with established goals and objectives. Monitor program progress and address any issues or challenges that arise during implementation. Facilitate communication and coordination among partners involved in program delivery. Collaborate with stakeholders to identify opportunities for program improvement and expansion.
Administrative Support: Provide administrative support to program managers, including scheduling meetings, preparing meeting agendas, and drafting correspondence. Maintain program documentation, files, and records in accordance with organizational policies and procedures. Assist in budget planning and resource allocation for programs. Track program expenditures and ensure spending remains within approved budgets. Prepare financial reports and documentation related to program funding and expenses.
Data Collection and Reporting: Develop systems for collecting program data and maintaining accurate records of program activities. Compile and analyze program data to measure performance and outcomes. Prepare regular reports and presentations on program progress, impact, and effectiveness. Implement quality assurance measures to ensure programs meet established standards and objectives. Conduct program evaluations and gather feedback from stakeholders to inform program enhancements and adjustments.

Qualifications
- High School diploma plus two years of college coursework (associate’s degree) OR equivalent years of experience
- Three years related work experience in an administrative / department coordinator role
- Proficient in Microsoft Office Suite
Preferred Qualifications
- Bachelor’s degree
- Experience in higher education
Physical Requirements
Must be able to utilize a phone, computer and other office equipment.
Department Specific Information
Support the Chair of the Department of Pharmacy Practice in the day to day operations of the department:
- Coordinate and manage projects related to initiatives of the Department of Pharmacy Practice. This may include but is not limited to: department website maintenance, seminar series/retreat logistics, strategic planning, policy development, and special projects as they arise.
- Maintain and monitor day-to-day department financial operations including analyzing variances and initiating corrective actions.
- Perform monthly analysis and reconciliation of department pcard
- Recommend budget reallocations to department chair and process financial form(s).
- Report monthly department financial information to department chair.
- Assist and/or train new faculty in the use of SCT Banner and Banner Self Service to retrieve individual budget and grant account information, as needed.
- Act as liaison between vendors and faculty members and assist with ordering and records management.
- Provide additional financial management support to the chair and department
- Manage department recruitment, hiring and onboarding processes for faculty, staff and students.
- Act as proxy for department chair to review and approve timesheets.
- Coordinate departmental faculty and staff midyear and annual performance reviews, reappointments and the promotion process.
- Act as an information resource, resolve problems of routine nature and assist with office management in the absence of the department chair.
- Maintain department files/records (electronic and hard copy) and maintain current faculty curriculum vitae.
- Schedule, organize and prepare Department Meeting Agendas and Meeting Minutes
Starting Pay Rate Range: $15.95 – $18.60, commensurate with experience.
