Job Brief:
We are looking for a full-time Administrative Assistant to support our neuropsychological practice. This position will be overseen by the Office Manager of the practice.
Our administrative assistant should be efficient, organized, and well-spoken. While prior experience in an office-setting, specifically in healthcare is preferred, it is not required. You will be provided with on-the-job training under the direct guidance of our Office Manager The applicant should be patient, capable of handling computer-based tasks with speed, accuracy, and efficiency. The goal will be to ensure the smooth workflow of our practice so that our patients and referring providers receive the best possible services.
Job Responsibilities:
1. Receive and assist patients as needed.
2. Explaining neuropsychological testing process to inquiring visitors and patients.
3. Utilize Electronic Health Record (EHR) to maintain patient charts which includes documenting phone calls, scheduling, uploading appropriate documents.
4. Manage office communications including phone and fax.
5. Schedule/Rescheduling appointments.
6. Ensure confidentiality and HIPPA compliance of sensitive information.
7. Transmit correspondence and medical records by mail, e-mail, or fax.
8. Proof office correspondence for typographical errors, spelling, grammar, and punctuation
9. Ensure that all neuropsychological testing supplies are stocked.
10. Ensuring a presentable office environment to our patients and visitors.
11. Support Office Manager with short and long-term tasks and projects and any administrative tasks assigned.
12. Actively engage in ongoing administrative projects assigned by office manager or practice owner.
Qualifications:
1. Required High School Diploma (minimum). Associate’s or higher preferred.
2. Strong organizational skills (digital and paper)
3. Basic knowledge of common office practices, procedures, and equipment.
4. Experienced in office software applications including: word processing, excel, adobe pdf.
5. Able to understand and follow oral and written directions.
Job Details & Benefits
1. Compensation based on education background and/or relevant work experience. $18.00 - $23.00/hour
2. Full time hours: Monday-Thursday (8:30am – 5:30pm); Friday (8:30 – 2:30pm)
