Who We Need
To support our continued growth, we seek a professional looking to grow their career in the field of Property Management. The Property Assistant is a front facing role supporting the needs of our building tenants and customers. The Property Assistant is responsible for front desk telephone operations such as answer, screen and forward calls, providing information, taking messages, and scheduling appointments. They assist in organizing and coordinating office operations and procedures in order to ensure organizational effectiveness and efficiency.

Description of Responsibilities
- Open and close Property Management office for business promptly from 8:00 AM- 5:00 PM
- Maintain calendar, meeting setup, and email correspondence
- Overall administrative support for Property Manager
- Assist with completion of tenant service requests
- Maintain external badging process for tenants and vendors, ensuring accurate activation and de-activation with proper security clearances
- Assist with maintaining tenant records, contracts and purchase orders
- Hear and resolve matters of issue from tenants and customers
- Manage information flow in a timely and accurate manner
- Thrive in a face-paced environment, managing competing priorities
- Be curious and inquisitive about understanding and improving business processes
- Be a team player with the ability to work and communicate across a variety of business units and management levels
- Communicate regularly with management and various business units
- Provide ad-hoc support and requests as needed
- Order supplies and restock management offices
Position Requirements and Desired Skills
- High school diploma required,
- 1 – 2 years of property management and administrative experience a plus
- Work experience in an office environment and knowledgeable of office procedures
- Strong experience with office management systems, MS Office and Excel
- Familiarity with online calendars and cloud systems
- Experience using office equipment, including printers
- Excellent communication skills (via phone, email and in-person)
- Experience exercising discretion and confidentiality with sensitive company information
- Excellent organizational skills with an ability to think proactively and prioritize work
- Be a detail-oriented problem solver, working towards meaningful solutions always
- Experience working independently as well as collaboratively; effectively managing priorities while meeting hard deadlines
- Ability to work cross-functionally with ease
