We are seeking an experienced, detail-oriented team member for our organization as an Administrative Assistant. An ideal candidate will have experience in office administration, including data entry and filing. This person enjoys interacting with others, working in a fast-paced environment, and embraces challenges. What you’ll do:
- Maintain and update calendars in a fast-paced environment with several competing priorities, including fielding all incoming scheduling requests, prioritizing the most urgent and sensitive matters and meetings, communicating with all parties, and ensuring that meetings are set up for success.
- Organize meetings, including scheduling, coordinating with remote participants, material preparation, recording minutes from meetings, providing post-meeting materials, and distribution to attendees.
- Meet frequently with leaders for proactive meeting support, including preparations before critical meetings.
- Coordinate travel arrangements and provide organized resources (itineraries, agendas, meeting materials, etc.) for upcoming leader travel and meetings.
- Provide administrative support to board members.
- Use various software, including Microsoft Outlook, Word, Excel, PowerPoint, and Canva to prepare presentations, reports, agendas, and other communications.
- Maintain and distribute lists as needed (e.g., organization charts, email distribution lists, contacts, etc.
- Special Projects as needed.

- At least three years of experience as an administrative professional
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift fifteen pounds at times.
- Must access and navigate each department at the organization’s facilities.
