Description :
We are seeking a highly organized and upbeat Office Coordinator to be the central point of contact for visitors, employees, and field technicians. You will handle tasks such as answering calls, greeting visitors, managing mail, coordinating office supplies, and booking travel arrangements. Additionally, you will drive employee morale by planning company events, coordinating our newsletter, and managing recognition programs. The role also includes providing administrative support to the finance team and assisting with special projects. The ideal candidate will have 3 years of experience in an administrative role, excellent communication skills, and the ability to build strong relationships with both staff and technicians.
Position Responsibilities :
- Answer company phone calls in a timely and professional manner.
- Greet visitors, have them sign in and direct accordingly.
- Collect and take outgoing mail to the on-site mailbox for pick up by scheduled time each day.
- Collect all incoming daily mail, open, date-stamp and scan or distribute to proper recipients.
- Schedule all outbound shipping service carriers for package pick-ups.
- Perform general administrative / clerical work as required for company team members, including but not limited to preparing reports and correspondence, data entry, compiling data for reports, copying, filing documents, entering, and retrieving computer data, etc.
- Receive & distribute faxes.
- Monitor inventory and ordering of all office supplies, equipment and furniture, as needed.
- Office or conference room preparation / setup for meetings, visitors, auditors, new hires, etc.
- Continual monitoring of office housekeeping – keeping the office common areas tidy / clean, including but not limited to the office beverage and / or food equipment.
- Vendor management for all office-related needs / services.
- Book business-related travel accommodations for team members
- Order food for meetings, special events, etc.
- Drive employee morale initiatives and planning company and office events
- Plan birthday and anniversary related tasks / events
- Coordinate holiday related activities – decorations, events, etc.
- Manage our quarterly newsletter – collect segments, format, publish quarterly
- Keep office postings and monitors updated with company news
- Creating new hire, promotion, award announcements
- Manage technician of the month / technician of the quarter process
- Manage apparel program and order company swag
- Working with our Finance Team on Weekly Reports and Dashboards
- Assist in updating spreadsheets for various Accounting workflows
- Assists with special projects as needed.
- Will perform other duties / assistance to support the company and its team members.
