Position Objective: The Office Manager plays a key role in ensuring the smooth and efficient operation of our family medicine practice. This individual will be responsible for overseeing daily office functions, managing staff, ensuring high-quality patient care, and maintaining compliance with health care regulations. The Office Manager will collaborate with the physicians, clinical teams, and administrative staff to create an organized, efficient, and welcoming environment for both staff and patients.
Core Responsibilities:
Oversee the day-to-day operations of the medical office, ensuring efficient workflows.
Manage office supplies, ordering, and inventory control.
Monitor the cleanliness, safety, and overall appearance of the office environment.
Ensure that all office equipment is functioning properly and arrange for repairs as necessary.
Supervise front-office staff, including receptionists, medical assistants, and other administrative personnel.
Train, and onboard new staff members.
Foster a positive work environment that encourages teamwork and professionalism.
Ensure a high level of patient satisfaction by monitoring patient flow, reducing wait times, and addressing concerns.
Oversee the scheduling of appointments, managing patient waitlists, and facilitating follow-up communications.
Handle patient inquiries, concerns, and complaints, ensuring timely resolution.
Assist with managing the practice’s finances, including billing, coding, and insurance verification.
Manage staff training on compliance procedures and safety protocols.
Coordinate audits and maintain records for regulatory compliance.
Stay up-to-date with changes in healthcare laws, insurance practices, and medical office best practices.
Serve as the primary point of contact between physicians, staff, and patients for office-related concerns.
Coordinate communication between the clinical team and administrative staff to ensure smooth operations.
Schedule meetings, handle correspondence, and maintain office documentation.
Oversee the implementation and use of Electronic Health Records (EHR) and practice management software.
Ensure all staff is trained and proficient in the use of medical office technology.
Troubleshoot technical issues related to EHR, billing software, and communication systems.
Maintaining a professional demeanor at all times
Practicing within the realm of HIPAA compliance at all times
