Neumann Gruppe USA, Inc. (NGUS) is a holding company that provides shared support services to the three NKG import companies in the United States: Rothfos, InterAmerican Coffee and Atlas Coffee Importers. These shared services — which include Logistics, IT, Human Resources and Accounting — enhance both efficiency and communication.
Key Responsibilities:
OPERATING SYSTEM & CONTROL REPORTS. Maintain the operating systems and control reports to timely and accurately reflect information and status of shipments. AFLOAT. Track/trace vessel & cargo routing; issue Customs and FDA entry work orders; monitor government releases; address shipper &/or carrier delays; ensure government releases are received on a timely basis.
PIER. Issue Delivery Orders for drayage and stripping to the warehouse/trucker. Monitor containers are picked up timely at the terminal. Address shipper &/or carrier delays due to missing carrier or government releases. Avoid terminal storage/container demurrage, except where it is less than the alternative warehouse expense.
WAREHOUSE. Land coffee and place in store the warehouse and within applicable contract terms and conditions. Monitor containers are unloaded timely. Review warehouse receipts/stripping reports; weight certificates for possible loss or claims. Avoid time bars.
CLAIMS & RECOVERY. Send out Notice of Potential Claims to all parties involved in the handling of the cargo in case of loss/damages. Secure all evidence to protect our rights of recovery; Monitor timely reconditioning or re-bagging of damage coffee. Submit weight claims and claims to shippers, carriers or to insurance within time frame allowed by the applicable contract terms and conditions. Liaise with the surveyor and warehouse final disposition of damage container and coffee. Ensure to collect all documents to support claims. Address disputes with the warehouse, shippers &/or carriers.
WAREHOUSE MONTH-END RECONCILIATION.
Making sure our inventory data matches physical inventory counts. Resolve any discrepancies that may have been discovered on a timely manner. Debit any losses against the responsible service provider and keep a good tracking record for audit and personal follow-up. Ensure system is updated.
MISCELLANEOUS. Provide assistance to Trading, Logistics Customer Service and Accounting department in coordinating all functions related to the execution of the purchase and in some cases, the sales contracts as well as for other issues. Ensure to identify and resolve security gaps. Responsible for being in contact with suppliers and vendors. All other applicable responsibilities assigned by your manager.
Quality Candiate may be asked to assist with the following:
PRE-SHIPMENTS. Monitor Unshipped Position Report. Send Shipping & Documentary Instructions and follow up with the Trading Desk missing destination declaration timely and prior to the shipment period; monitor Pre-shipment where applicable; monitor receipt of Booking Confirmation and where applicable the Importers Security Filing (ISF) advises; address shipper &/or carrier delays; monitor receipt of Shipping Advises and FDA Prior Notice.
SHIPMENT DOCUMENTS. Monitor timely receipt of required shipment documents. Address with shippers missing &/or discrepant documents. SHIPMENT DOCUMENTS REVIEW. Review and validate accuracy of documents for payment.
Qualifications & Training:
Bachelor’s degree in international trade, supply chain, logistics, business administration OR equivalent experience required.
