The Career Services Specialist is responsible for providing primary support to the Career Services department. This position requires attention to detail, efficient time management, precision and organizational skills. Professional judgement and a firm commitment to professional time management practices will contribute to effective collaboration on prioritization and completion multiple priorities. The successful candidate will be professional, outgoing, comfortable with change with a sales-like mindset, customer service oriented and exercise the highest level of confidentiality, ethics and integrity.
TASKS, DUTIES & RESPONSIBILITIES, INCLUDING BUT NOT LIMITED TO:
- Demonstrates high quality of customer service for students, staff, industry contacts
- Maintains confidential files and inputs/retrieves data from students, graduates, and industry partners (SalesForce, CV, File Serve, etc.).
- Maintains employment data tracking/documentation (in CV and File Serve).
- Supports with annual ACCSC Employment Verification process (Docusign, CV, File Serve).
- Assists with set-up/clean-up for events (Career Week, Employer Appreciation events, etc.)
- Assists in sourcing and maintaining industry contact information.
- Assists with sourcing and sharing job opportunities for students.
- Arranges and oversees ordering and delivery of food and other refreshments for department led campus events.
- Prepares documents and packages for shipping and marketing to industry and students
- Places, answers and screens incoming industry and student calls (for Career Week, on-campus interview set-up, etc.).
- Conducts a variety of audits associated with employment verifications, company contacts, etc.
- Assists with grading for Career Services courses in LMS (PRO 490, 491, 492, NEU 200).
- Facilitates contract process for quarterly Enterprise Projects, including creation, distribution, tracking, and filing of contracts.
- Creates, distributes and compiles data for quarterly Graduate and Employer Satisfaction Surveys
- Supports with Alumni outreach, including quarterly Alumni Association Welcome messaging
- Assists with student, staff, and employer messaging utilizing key communication tools (LMS, Slack, Outlook, campus slides, etc.).
- Facilitates administrative components of Career Week (attendance confirmation messaging, satisfaction surveys, awards, etc.).
- Initiates and maintain Enterprise Project set up and record keeping (Master documents, EP History, project and sponsor details, A/R spreadsheet, etc.).
- Supports with quarterly Resume Books.
- Assists with student coaching and job placement assistance as needed.
- Any other task, duty or responsibility assigned by the supervisor.
QUALIFICATIONS AND POSITION REQUIREMENTS:
- High School Diploma or equivalent.
- Three years of successful office, and customer service experience.
- High proficiency with Microsoft Office applications (Excel, Word and Outlook) required.
KNOWLEDGE, SKILLS AND ABILITIES REQUIRED
- Excellent public relation skills including courteousness, tact and good verbal communications.
- Professional writing skills including correct use of grammar and punctuation.
- Ability to remain professional in stressful situations.
- Ability to prioritize tasks and responsibilities.
- Ability to demonstrate discretion and maintain confidentiality.
- Ability to maintain self-control and complete tasks with frequent interruptions.
- Excellent telephone etiquette with patience and compassion when communicating with callers
- High degree of proficiency in office procedures, keyboarding, office equipment operation and maintenance, business machines (photocopiers, postage machine and telephone systems) & computer software programs and applications.
- High proficiency in Microsoft Office Suite.
- Ability to make decisions and complete assignments without close supervision, or constant direction.
- Accurate, efficient and capable of handling detailed work assignments.
- Excellent time management, organizational, and listening skills.
- High energy and outstanding work ethic.
- Ability to work independently and self-motivated; also work cooperatively with all staff.
SCHEDULE:
- 40 hours a week, Monday Friday.
- Occasional evenings and weekends, with advanced notice.
