As part of our launch, we are seeking a dedicated and experienced Office Assistant / Patient Coordinator to help set up and run the day-to-day operations of our new practice.
Job Description:
We are seeking a reliable and experienced Office Assistant / Patient Coordinator to join our new outpatient practice in San Jose. This role involves setting up the new office and managing front desk operations thereafter. Your work will be integral to the smooth operation of our practice and ensuring an optimal patient experience.
Key Responsibilities:
- Manage front desk operations, including greeting patients, answering phone calls, and scheduling appointments.
- Assist in the physical setup of the new office, including arranging furniture, setting up equipment, and organizing supplies.
- Room patients and prepare them for their consultations.
- Assist patients with basic requests and address any immediate concerns.
- Handle patient intake, including verifying patient information and updating medical records.
- Process payments, handle billing inquiries, and manage patient balances.
- Coordinate insurance verification and pre-authorization for treatments and procedures.
- Maintain and update patient records accurately and securely.
- Ensure patient charts are prepared and ready for appointments.
- Coordinate with medical staff to ensure smooth patient flow and efficient office operations.
- Perform administrative tasks such as data entry, filing, billing, and insurance verification.
- Triage calls and messages, relay information to appropriate medical staff, and follow up as needed.
- Keep the office environment clean, organized, and welcoming.
- Ensure compliance with healthcare regulations and standards.
Requirements:
- Minimum of 2-3 years experience in a healthcare or medical office setting.
- Excellent organizational and multitasking abilities.
- Strong interpersonal and communication skills.
- Basic understanding of medical terminology and practices.
- Proficiency in using office software and electronic health records (EHR) systems.
- Ability to work independently and as part of a team.
- High school diploma or equivalent; additional qualifications in healthcare administration are a plus.
- Flexibility to work part-time hours with the potential for an increased schedule in the future.
