About the Role :
Provides analytical and specialized administrative support to relieve and assist executive, administrative, line and staff managers of complex details and advanced administrative duties. May handle special projects and execute research and data analysis tasks. Analyzes problems, determines approach, compiles and analyzes data and prepares reports and recommendations. Coordinates activities between departments and outside parties. Contacts company employees at all organizational levels to gather information and prepare reports. Work is generally of a critical or confidential nature. Assignments may be in various functional areas.
Your Contributions (includes, but not limited to) :
Completes special projects supporting operations and / or other functions such as (but not limited to) filing, tracking, package distribution and special visitors
Anticipates needs of executives and proactively plans, implements, and executes daily tasks
Maintains calendars, schedules meetings, sends Outlook calendar appointments, reserves conference rooms, and coordinates logistics for meetings, including audio / visual needs, agendas, presentations, and food and beverage catering
Supports the processing of purchasing systems
Compiles expense receipts, and completes and submits reports for expense reimbursements and credit card charge processing / validation to the accounting department
Greets visitors in lobby and escorts to meeting rooms
Orders, office supplies via Coupa for department staff as needed
Assists with food deliveries and set up. Messages Front Desk of pending delivery vendor
Various clerical projects as needed
Coordinates domestic and / or travel arrangements in Concur
Other duties as assigned
Requirements :
High School Diploma / Associates degree and 2 years of related experience or equivalent experience, training, and / or certification
Excellent oral and written communication skills, organization skills, and high attention to detail
Professional demeanor, high initiative
Ability to work efficiently and with limited supervision
Ability to interact with employees at all level
Computer expertise
Previous experience using Concur and Coupa
Detailed calendaring experience a must
Uses established skills to perform a range of daily operations
Applies understanding of company policies and procedures to complete assigned tasks
Understands how own area contributes to the achievement of objectives
