MEDICAL OFFICE MANAGER JOB RESPONSIBILITIES
This position oversees the face of the company and covers the front desk responsibilities as needed. The position is fast-paced and includes, supervising, ordering, document management, inventory, medical scheduling, answering client questions, supporting waiting clients, answering phones, collecting co-pays, mail collection, verification of insurance benefits, and assisting with other office tasks requested by the team. Applicants should be highly organized and prepared to manage client registrations and create client files in an electronic health record while managing COVID-19 precautions in an exceptionally fast-paced mental health office.
MEDICAL OFFICE MANAGER JOB DUTIES
- Supervises Front Desk
- Approves front desk timesheets and manages time off requests for supervisees
- Covers front desk responsibilities in absence of the Medical Office Receptionist (see Medical Office Receptionist job description)
- Manages inventory of office and cleaning supplies and seeks approval prior to placing orders
- Researches best prices for regularly purchased items and single purchases
- Submits invoices and receipts to billing manager within 24 hours of purchase
- Maintaining organization of filing and storage areas within the waiting area unit
- Ensuring cleanliness is maintained within the waiting area unit
- Research projects as assigned (historical projects include for-profit grant programs, expenses for new programming, pricing unit furniture outfitting, and service providers such as collections, fax/printer/copier services, or locations for company events)
- Organizing administrative components of internal trainings and events (catered lunches, itinerary/schedule/manual copies, beverages, and appropriate supplies)
- Creation of office postings and flyers
- Manages completion of new hire paperwork (I9, W2, policy signatures, payroll forms, application and emergency contact forms) criminal background checks, and driving checks after supervisors receive signed contracts for employment for all departments
- Deescalates clients in distress within the waiting area as challenges arise through validation, reassurance, and the use of strong communication and problem-solving skills
- Maintaining high quality client care by upholding practice policies
- Delegating tasks to supervisees as appropriate
MEDICAL OFFICE MANAGER SKILLS AND QUALIFICATIONS
- Must be able to pass a criminal background check
- Must be able to pass a DMV background check
- Excellent communication and teamwork skills
- Minimum of 2 years of Medical Office Management experience
- Supervisory experience required

SCHEDULE
NINH offers a 4-day work week, Monday through Thursday, with 8am-6pm office hours. The Medical Office Manager role is a flexible part-time position, requiring 20 hours per week with a daily face to face presence. Some remote work may be permitted but supervision, training, and meetings must occur in person and some projects will require an office presence.
