Purpose:
The job description of the Surgery Scheduler / Medical Assistant is a written statement that identifies a job title and its related principal duties and responsibilities as required for and established by the Neurosurgical physician’s practice of NeuroMicroSpine. It identifies the knowledge, ability, skill requirements, reporting relationships, and working conditions relevant to the position of Surgery Scheduler / Medical Assistant. This job description shall be used as a tool against which to evaluate job content, set salary, establish hiring criteria, set performance standards, and defend the practice against claims of discrimination or unfair personnel practices.
I. JOB TITLE

II. DUTIES, RESPONSIBILITIES AND PROCEDURES
- Verifies patient information by interviewing patient; recording medical history; confirming purpose of visit.
- Prepares patients for examination by performing preliminary physical tests; taking blood pressure, weight, and temperature; reporting patient history summary.
- Secures patient information and maintains patient confidence by completing and safeguarding medical records; completing diagnostic coding and procedure coding; keeping patient information confidential.
- Counsels patients by transmitting physician's orders and questions about surgery.
- Maintains safe, secure, and healthy work environment by establishing and following standards and procedures, complying with legal regulations.
- Keeps supplies ready by inventorying stock; placing orders; verifying receipt.
- Keeps equipment operating by following operating instructions; troubleshooting breakdowns; maintaining supplies; performing preventive maintenance; calling for repairs.
- Updates job knowledge by participating in educational opportunities; reading professional publications.
- Serves and protects the neurosurgical practice by adhering to professional standards, policies and procedures, federal, state, and local requirements.
- Enhances practice reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments
- Develop, implement, and consistently seek improvement in policies and procedures for all medical assisting functions.
- Provide service of the highest quality in a professional and courteous manner to our referral sources and patients.
- Active participation as a member of the administrative team in assisting others as needed to ensure all daily activities are completed, company goals are achieved, and continuous improvements and cost efficiencies are identified and pursued.
- Assist in the training of department staff and staff in other departments in clinical policies and procedures.
- Ensure compliance with industry standards, regulations, and company policy and procedure.
- Initiate & respond to telephone inquiries from clients, patients & others.
- Documents all communications and activities in AllScripts to assist with clear, concise and accurate communication to all who work with patient records.
- Ensures all computer programs are closed when leaving work area and at the end of every day.
- Is familiar with complies with office policies and procedures in daily duties.
- Maintains knowledge and complies with all personnel and other established job related policies and procedures.
- Understands and adheres to practice policy on patient and office confidentiality.
- Performs procedures independently (suture, staple removal, drain removals etc.)
- Uploads patient images to OPAL PACS system.
- Send lab and radiology orders.
- Ensures patient pre-operative clearances are obtained in appropriate time for surgery.
- Understands and includes the practice’s mission statement in daily performance of job duties.
- Informs practice manager of any concerns related to any compliance
- Performs clinical procedures under supervision of physician, ARNP or physician assistant
- Assist physician, ARNP and physician assistant in exam rooms
- Ensure all related reports, labs and information is filed is available in patients’ medical records prior to their appointment.
- Send outgoing referrals.
- Prepares surgery packets for patients.
- Obtain authorizations for referrals, orders, and surgeries.
- Calls patients about test results
- Takes incoming calls from patients and gives them medical advice according to predetermined protocols (wound care, constipation, etc.)
- Makes decisions about patients needing to be seen urgently, or next day.
- May see walk-in patients and triage their condition (wound checks).
III. QUALIFICATIONS & EXPERIENCE
- Minimum of three years medical assisting / surgery scheduling experience.
- Minimum of two years’ experience working with commercial, Medicare, Tricare and managed care insurance procedures and plans.
- Knowledge of medical terminology.
- Computer literate in current Windows applications – word, excel, access, outlook.
- Typing skills.
- Skill to organize & prioritize workload, keep a personal procedure manual, coordinate many assignments simultaneously & meet deadlines.
- Skills to perform computer & data entry functions.

V. WORK CONDITIONS
- Exposed to frequent and constant interruptions in daily functions/schedule.
- Requires manual dexterity sufficient to operate office equipment, including but not limited to keyboard, copier, telephone, fax machine and calculator.
- Work in varying degrees of temperature (heated or air conditioned)
- Work environment involves minimal exposure to physical risks, such as operating dangerous equipment or working with chemicals.
- Position requires sitting for approximately 4-6 hours per day and walking for 2 hours per day
- Position requires light to moderate work with 50 pounds maximum weight to lift and carry
- Position requires reaching, bending, stooping, and handling objects with hands and/or fingers, talking and/or hearing, and seeing
- Must have close visual acuity for viewing computer monitor, extensive reading, preparing documents and/or analyzing data.
VI. WORK SCHEDULE
- Monday - Friday: 8:00 am – 12:00pm and 1:00pm to 5:00pm (1-hour lunch break)
