Job Description:
We are seeking a dedicated Office Assistant to join our mental health care team. This role is pivotal in facilitating the smooth operation of our office by handling a variety of administrative tasks. You will be the first point of contact for our clients, helping to manage their needs and ensure their care experience is seamless and professional.
Hours:
7 am to 4 pm
8 am to 5 pm
9 am to 6 pm
Responsibilities:
- Inbound and Outbound Calls: Manage all incoming and outgoing calls with professionalism, including scheduling appointments, answering client inquiries, and facilitating communication between clients and healthcare providers.
- Email Management: Organize and manage email correspondence to ensure timely responses to clients, staff, and other stakeholders.
- Fax Handling: Send and receive faxes, ensuring that all documents are accurately transmitted and received, and handled confidentially.
- Medical Records Management: Maintain and update client medical records with high accuracy and in compliance with legal and ethical standards.
- Appointment Scheduling: Coordinate and schedule client appointments, ensuring efficient use of staff time and optimal client care.
- General Administrative Support: Assist with other administrative duties as needed, including but not limited to filing, photocopying, and maintaining office supplies.
Qualifications:
- High school diploma or equivalent; further training in office administration or related field is preferred.
- Proven experience in an administrative role, preferably in a healthcare or mental health setting.
- Strong communication and organizational skills.
- Ability to handle confidential information with discretion.
- Proficient in Microsoft Office Suite and capable of learning new software quickly.
